Administrative and Accounts Assistant

Able to supports both the finance/accounting team and administrative functions of a business.

Accounting Duties:

  1. Invoice Processing:
    Creating, sending, and filing invoices.
    Processing supplier invoices and payments.
  2. Accounts Payable & Receivable:
    Recording payments and receipts.
    Following up on overdue payments.
    Reconciling accounts.
  3. Bookkeeping:
    Entering financial transactions into accounting software (e.g., Xero).
    Maintaining financial records and ledgers.
  4. Bank Reconciliation:
    Matching internal records with bank statements.
  5. Payroll Support:
    Assisting with preparing and processing payroll.
    Handling basic staff expense claims.
  6. Financial Reporting Support:
    Assisting with month-end or year-end reports.
    Helping auditors or accountants with required documentation.

Administrative Duties:

  1. Document Management:
    Filing, scanning, and organizing financial and administrative documents.
  2. Office Coordination:
    Ordering office supplies.
    Scheduling meetings and maintaining calendars.
  3. Communication:
    Answering phones and emails.
    Liaising with vendors, customers, and service providers.
  4. Data Entry & Record Keeping:
    Updating employee records.
    Entering data into spreadsheets or databases.
  5. HR Admin Support (if required) :
    Assisting with onboarding paperwork.
    Maintaining timesheets or leave records.

Skills Usually Required:

  • Basic accounting knowledge
  • Good organizational and time management skills
  • Familiarity with Xero accounting software
  • Proficiency in MS Excel and Word
  • Strong communication skills
