The Singapore Centre for Environmental Life Sciences Engineering (SCELSE) is a unique interdisciplinary Research Centre of Excellence (RCE), funded by National Research Foundation, Singapore Ministry of Education, Nanyang Technological University and National University of Singapore. Hosted by NTU in partnership with NUS, SCELSE is linking new insights from the life sciences with expertise from the emerging technologies in engineering and natural sciences to understand, harness and control microbial biofilm communities.
SCELSE seeks an Executive, Research Grant Administration and Business Development support, whose job purpose is twofold:
a) To provide efficient and timely administrative support in research grant and project-related matters to assist faculty and researchers in SCELSE, enabling pro-active and efficient workflow of the Centre's grants and other funded projects. Efficient research administration requires a broad knowledge base that spans across diverse domains, including Human Resource, Finance, Procurement, Legal and Graduate Education. A good research administrator is one who has an astute understanding of the policies and procedures of these domains, be able to connect parties within these domains and provide solutions in supporting faculty, researchers and domain personnel in the administration and management of research projects.
b) To provide administrative and operational support to the SCELSE business development team, and the crucial role is in ensuring proper housekeeping and archival of databases, reports and documentation of communications, correspondences, presentations and proposals. The person plays a vital role in enabling the SCELSE business development team to focus on pushing SCELSE's strategic initiatives and lead interactions by handling the administrative and operational aspects of their work.

Key responsibilities:
- Identify research grant opportunities that are relevant to SCELSE research. Disseminate grant call information, setting timelines and assist faculty and researchers in their grant application submission by providing effective administrative support.
- Coordinate the preparation and submission of grant proposals, ensuring that all necessary documentation and approvals/endorsements are received and included. Ensuring that grant applications comply to funding guidelines and requirements of funding agencies.
- Support post-award administration including assisting faculty and researchers in research account set up, budget phasing, manpower related activities, and other matters in accordance to university processes and policies.
- Manage research information and database entries in research management systems in consultation with faculty and researchers; Human Resource; Finance; Procurement; Research Support Office; and other relevant departments in NTU. Maintains accurate records of grant-related activities and documentation.
- Monitor grant activities to ensure continued compliance with grant terms and conditions. Coordinate the preparation and submission of grant variation/change/extension requests to funding agency.
- Coordinate and liaise with funders and collaborators on grant award; contractual-related matters, preparation of regular status reports on research grant submissions and awards; administering project variation requests, project progress reports etc.
- Maintains and communicates record of grant applications and award / no-award information to SCELSE management, faculty and researchers.
- File and organise legal documents in both physical and electronic format to ensure proper compliance and to allow for ease of retrieval. Maintains proper records of all legal documents in force. Provides up-to-date and timely information of effective and expiration dates of legal documents to internal stakeholders.
- Assists in the timely submission of legal / contract documents to Legal Support Office (LSO) via ServiceNow review tickets. Tracks the progress of review tickets, summarises and coordinate feedback and timely responses between SCELSE and LSO.
- Assists in the organisation and maintenance of proper documentation records of patents, technology disclosures, know-hows and other intellectual property information.
- Schedule and coordinate meetings and appointments for business development activities. Prepare and distribute meeting agendas, minutes and follow-up actions. Maintains organised records of business development activities and documentation.
- Assists in the organisation of business development events, which could include physical visits, seminars and networking events. Coordinate and manage event logistics, including venue arrangements, attendance registrations and preparation of materials. Ensures clear and consistent communication regarding business development activities and events to internal and external stakeholders.
Requirements:
- Bachelor's Degree or Diploma qualification of any discipline with relevant working experience
- Prior experience in grant administration will be an advantage
- Prior experience in project and financial management skills would be an advantage.

- Good oral and written communication and interpersonal skills
- Meticulous, resourceful, and able to work independently
- Customer-service oriented with a positive work attitude
