Job Summary:

The Virtual Production Planning Program Assistant supports the coordination and execution of virtual production planning activities. They assist the production management team in organizing schedules, tracking assets, liaising with creative and technical departments, and ensuring smooth communication across the virtual production pipeline.

Key Responsibilities:

Virtual Production (VP):

• Lead the planning and execution of virtual production workflows using Unreal Engine, Disguise, or related tools.
• Design and coordinate immersive stage setups (e.g., LED walls, projection mapping) for live shows and branded content.
• Work closely with technical artists, creatives, and clients to visualise environments and produce real-time content.
• Oversee virtual camera programming, motion tracking, and system integration to ensure seamless VP output.
• Conduct pre-visualisation and rehearsals to simulate show flow and virtual scenes before production.

Event Planning & Execution:

• Manage end-to-end planning and logistics for physical events, including conferences, product launches, media activations, and hybrid showcases.
• Liaise with vendors, venues, AV teams, and contractors for all event requirements (sound, lighting, staging, etc.).
• Develop detailed production schedules, floor plans, crew call sheets, and contingency plans.
• Ensure smooth on-ground execution, including setup, rehearsals, showtime coordination, and teardown.
• Collaborate with creative and marketing teams to align event content with brand messaging.

Cross-functional Duties:

• Act as the bridge between creative, tech, and production teams.
• Track budgets, procurement, and post-event reconciliation.
• Maintain excellent communication with stakeholders and lead project meetings.
• Identify opportunities for innovation using immersive technologies in traditional event formats.
• Stay up-to-date with trends in virtual production, live event technologies, and experiential media.
