Job Description
The Procurement and Admin Executive will support the procurement and administrative functions. This role involves managing purchase orders, coordinating with suppliers, maintaining procurement records, and handling office administration tasks. The ideal candidate will ensure efficient procurement processes and smooth office operations.
Job Summary
Procurement Support:
- Prepare and process purchase orders, ensuring alignment with company policies.
- Track purchase orders and ensure timely deliveries.
- Verify order confirmations, invoices, and delivery schedules with suppliers.
- Obtain and review supplier quotations, assist in price negotiations and supplier selection.
- Maintain supplier and vendor records, procurement records and assist in inventory tracking.
- Coordinate with suppliers for timely delivery and resolve discrepancies.
- Handle order cancellations, returns, and replacements.
- Assist with data entry, purchase order processing, and invoice verification.
- Support procurement audits and compliance reporting.
- Prepare and submit monthly procurement reports.
Office Administration:
- Greet and welcome visitors, manage calls, emails, and inquiries.
- Manage appointment scheduling and visitor logs.
- Order office supplies, manage equipment, and handle mail/couriers.
- Support meeting room bookings and conference calls.
- Maintain filing systems and documentation for procurement and office operations.
- Handling of Samples and Walk-in Sales and support any ad hoc tasks assigned by line manager.
Job Requirement
- Diploma in Supply Chain Management, or related field.
- 1-2 years' experience in procurement and office administration.
- Knowledge of SAP system will be an advantage
