DUTIES AND RESPONSIBILITIES:
  • Maintain senior management contact database and emails
  • Screen and direct phone calls and emails for senior management, and distribute correspondence appropriately when required.
  • Reading emails, letters, and texts, and replying accordingly as per instructed by senior management
  • Act as a point of contact among staff and external associates such as clients, business partners, vendors and etc.
  • Manage diary and schedule meetings and appointments by planning and scheduling internal and external meetings based on past trends and new requirements.
  • Involve in senior management meetings for taking dictation and minutes.
  • Make sure meeting material is in accordance before meetings by corresponding with and following up with appropriate parties
  • Direct management of the senior management driver schedule such as leave planning and etc.
  • Act as the point of contact and administrator for travel-related arrangements such as booking of flights, transport, hotel and entertainment. Ensure booking is in accordance with company policy.
  • Maintain sensitive and confidential written and oral information
  • Devise and maintain office filing system and other methods of data management
  • Handling certain budgets and accounts
  • Carrying out specific projects or tasks as instructed by the senior management

JOB REQUIREMENTS:
  • Minimum Diploma/Degree in Business Administration or equivalent work experience.
  • Proven work experience as a Personal Assistant with a minimum of 3 years' experience in providing secretarial and administrative support to the C-suite level.
  • Excellent verbal and written communications skills
  • Must be bilingual in English and Mandarin, ability to translate documents and communicate with English and Mandarin-speaking stakeholders
  • PC literate with knowledge of MS Office proficiency
  • Outstanding organizational and time management skills
  • Decisive and committed, able to work under pressure
  • Ability to multitask and prioritize daily workload
  • Discretion and confidentiality
  • Meticulous and has problem-solving skills to deliver results and meet KPIs.
  • Working experience in Food & Beverage will be advantage
