Key Responsibilities:
Qualifications:
- Documentation and Record Keeping:
Process and manage all incoming and outgoing warehouse documentation, including delivery orders, goods receipt notes, packing lists, invoices, and waybills.
Maintain accurate and up-to-date physical and digital records of all warehouse activities.
Prepare and generate various reports related to inventory, shipments, and warehouse performance.
Ensure compliance with all company policies and procedures related to documentation and record retention. - Inventory Management Support:
Assist in maintaining accurate inventory levels by reconciling physical counts with system records.
Process inventory adjustments, transfers, and returns in the warehouse management system (WMS).
Support cycle counting and annual stock-taking activities.
Identify and report discrepancies or issues related to inventory. - Data Entry and System Management:
Accurately input data into the WMS or ERP system for all goods movements, including receipts, dispatches, and transfers.
Update system records to reflect real-time inventory status.
Troubleshoot basic system issues and escalate as needed. - Communication and Coordination:
Liaise with internal departments (e.g., procurement, sales, customer service, finance) regarding orders, deliveries, and stock availability.
Communicate effectively with external parties, including suppliers, transporters, and customers, on delivery schedules and discrepancies.
Answer phone calls and emails, addressing inquiries related to warehouse operations. - Administrative Support:
Manage office supplies for the warehouse office.
Assist in scheduling appointments and meetings for the warehouse team.
Support general administrative tasks as required to ensure the efficient running of the warehouse.
Qualifications:
- Education:
High School Diploma or GCE 'O' Level/ 'A' Level or equivalent.
A Diploma or Certificate in Logistics, Supply Chain Management, Business Administration, or a related field is a plus. - Experience:
Minimum of 1-2 years of proven experience in a similar administrative role within a warehouse or logistics environment.
Familiarity with warehouse operations and inventory management principles. - Skills:
Proficient in Microsoft Office Suite (Word, Excel, Outlook) with strong Excel skills (e.g., VLOOKUP, pivot tables).
Excellent data entry skills with a high degree of accuracy and attention to detail.
