The Admin Officer provides general administrative support in areas such as communication, purchases, event coordination, and managing the full registration process. As the first point of contact for prospective families, the Admin Officer represents the school's image and values.

Expense Management
Communication & Marketing
- Collaborate with teaching staff to identify and develop content opportunities.
- Write and curate articles related to education and school life.
- Assist in capturing and producing photos/videos for special occasions and school events.
- Edit visual content with attention to authorisation and image rights.
- Design visual assets (posters, banners, flyers, newsletters, templates, etc.).
- Ensure all visual and written materials are properly archived and kept up to date.

Admissions & Registration
- Serve as the main point of contact for admissions; represent the school to prospective families.
- Manage the online registration platform.
- Oversee the entire enrolment process: conduct school visits, handle registration and onboarding, manage departures, and coordinate invoicing.
- Perform general administrative tasks: answer phone calls, welcome visitors, manage inquiries.
- Organise and coordinate Open Houses (JPO) and individual visits.
School Life
Parent Relations:
- Share information with families via the school's communication platforms (app, newsletter, blog, social medias, etc.).
- Supervise and liaise with parents' representatives: draft messages, organise meetings, ensure consistent communication.
Documentation:
- Ensure all administrative documents and procedures are up to date.
- Maintain accuracy of the registration database.
- Translate and format documents and communications in both French and English, including emails, documents, and assessment reports.
Daily Support:
- Check and manage school emails during periods of leave to ensure continuity in communication.
- Welcome children arriving by bus each morning.
- Reporting to the School Principal and the Management.
Events:
- Coordinate school events and outings.
- Co-organise family-oriented events (e.g. themed mornings, end-of-year fair) two to three times per year (includes coordination, communication, and purchasing).
Expense Management
- Maintain and update the school's expense report.
- Organise and file invoices.
- Prepare payments via the school's banking application.
Communication & Marketing
- Lead the student recruitment process: from developing the marketing strategy to meeting prospective families and coordinating with the enrolment team.
- Organise and facilitate communication and marketing brainstorming sessions.

Competencies
- Minimum 3 years related work experience as an office assistant, office administrator, or handling administrative responsibilities in a related field.
- Fluence in English, bilingual in French and English is preferred, but not a must.
- Proficient computer skills, including Microsoft Office Suite (Word,PowerPoint, and Excel)
- Excellent written and verbal communication skills.
- Results-driven and resourceful, with a strong affinity for critical thinking, hands-on execution, and problem-solving.
- Self-directed and able to work without supervision.
- Highly organized multi-tasker who works well in a fast-paced environment
- Excellent team-player
Working Hours
- Monday to Thursday: from 8am until 5pm;
- Friday: from 8am until 4pm.
