Work Dynamics - Integrated Facilities Management

Principal Accountabilities
  • Overall responsibility of Integrated Facilities Service delivery at site
  • Manage all soft & hard services and facilities management services, including events support and food & beverage services
  • Delivery of services in accordance with the service agreement and service levels

Duties & Responsibilities
  • Responsible for facilities operation
  • Establish Facility Service Management procedures for soft services and roll out to site staff, mainly Cleaning, Tea Ladies, Mailroom, Landscape, Pest Control, Security Services, Food & Beverage Services, Events & M&E
  • Monitor procedures to ensure client's expectations are conveyed and worked upon
  • Ensure compliance with all local statutory regulations
  • Primary responsibility for OPEX budget, tracking and reporting planning and provide administrative support to the team
  • Manage vendor procurement processes in accordance with agreed client procurement guidelines as well as Jones Lang LaSalle procurement best practices
  • Manage all contract vendors to carry out technical audits/ maintenance, monitor expiry of contracts and initiate re-procurement for all services
  • Assess contracts to ensure best value delivered to the Client
  • Initiate a system to measure quality of performance on a quarterly basis
  • Implement and manage safety procedures to ensure the provision of a safe environment
  • Participate in emergency response exercises as per client's requirement
  • Achieve KPI and SLA targets

Person Specification
  • Diploma or Degree Facilities Management/Build in Environment/Hotel Management/Hospitality/Building/Mechanical/Electrical Engineering or any other related discipline
  • Minimum 5 years practical experience in facilities management, vendor management and client reporting
  • Good problem-solving and coordination skills
  • Strong budget management and financial analysis skills
  • Possess operation ability to think laterally and deliver innovative solutions
  • Strong leadership, people and communication skills
  • Good command in spoken and written English
  • Good MS Outlook, MS Excel, MS Word, PowerPoint & others
