Job Purpose

LOVE, NILS , is a Singapore-registered IPC charity. Our mission is to provide support to children with cancer and their caregivers as they navigate the trauma of childhood cancer. To be clear the charity does not get involved in the cancer treatment modalities of the child.

LOVE, NILS is seeking a Program & Volunteer Manager to work directly with the Executive Director, or his assignee as assigned by the Board. The incumbent is to successfully: coordinate programs that provide the necessary support to children with cancer and their families and provide support in operational matters that include functional areas in fund raising, human resources, finance and engagements with various other stakeholders (internal and external).

This role will ensure positive program impact, strong beneficiary engagement and for the charity to manage its operations well.

Key Responsibilities

This role is vital for LOVE, NILS' ability to deliver on its vision and mission of providing high quality supportive programs to children with cancer and their caregivers. To work collaboratively to implement and maintain the quality of LOVE NILS' programs and to provide the necessary operational and administrative support to the charity. This role will also liaise directly with beneficiaries regarding program offerings and enrollment, manage program and event logistics, collect and maintain program data, and ensure successful program delivery as well with other stakeholders on operational and administrative tasks to be accomplished. This role reports directly to the Program Director or any other member designated by the Board.

Program, Logistics, Volunteer and Relationship Management
  • Lead program implementation and manage all program delivery logistics, including beneficiaries' recruitment, enrollment and exit of programs.
  • Build and manage an active volunteer body to help in the service deleivery of Love, Nils.
  • Collaborate with stakeholders to ensure successful program delivery, including special events throughput the calendar year.
  • Meet regularly with stakeholders to establish and maintain positive working relationships.
  • Utilise LOVE, NILS Client Relationship (CRM) or others systems to monitor and to collect program operations, data and evaluate for quality, efficiency and effectiveness in accordance with the Personal Data Protection Act (PDPA) of Singapore.

Communication

  • Create a sense of community by communicating with families in a sensitive, positive and supportive manner.
  • Serve as an information resource to families interested in LOVE, NILS' programs.
  • Utilize CRM to collect and maintain beneficiary data and to facilitate communicationdirectly with beneficiaries to promote program offerings, answer inquiries, enroll and exit of programs.
  • Serve as an Ambassador for LOVE, NILS, promoting and increasing awareness to the community.
  • Participate actively in initiatives to promote LOVE, NILS programs.

Evaluation and Reports
  • Monitor and measure program performance (KPI's) and adjust in collaboration with the Program Director to optimise results against program goals and adhere to approved budgets.
  • Generate monthly and quartile reports to the Program Director and inputs into quartile Board reports.
  • Collect and implement program impact data, including outputs, testimonials and surveysfor data impact analysis, annual reports and program evaluation.

Operational & Administration
  • Work on and contribute towards the organisation's strategic vision.
  • Work on and contribute to set annual fundraising targets, vision and overall strategy for the organisation.
  • Work on and contribute in financial matters relating to the budget, financial report and audits.
  • Represent the organization, as required, and in a manner that is consistent with the organisation's mission and values.

Work Together Seamlessly With Other Staff and Steakeholders
  • To identify and evaluate the program cycle including beneficiary recruitment strategy, onboarding process and new program opportunities.
  • To solve challenges, as they arise.
  • To promote and successfully deliver the programs including developing a volunteer base to be integral in delivery.
  • To develop collateral and promotional materials, as needed.
  • To create funding proposals, as needed.
  • Other duties as assigned.

Requirements

Skills and Competencies: What are we looking for:
  • A passion to serve in the social sector
  • Excellent and effective communications skills (both verbal and written) with strong interpersonal and good presentation skills when working with groups and individuals.
  • Ability to communicate sensitively and discreetly with cancer patients and their families.
  • Ability to work well with a diverse group of stakeholders from the public and private sectors
  • Resourceful, self-motivated, target driven with data entry experience and demonstrated IT skills, including proven ability to work within a CRM framework.
  • Ability to manage multiple complex projects at once and able to adapt to meet program objectives.
  • Team player with a positive attitude and collaborative spirit who is able to effectively communicate with various levels of staff and stakeholders.
  • Flexible to work occasional weekends and evenings

Qualifications:
  • A bachelor's degree from an accredited university
  • Qualifications/experience in Program Management, or equivalent

Others:
  • 2+ years equivalent experience in Program Management or related field, and/or Experience leading/supervising a team.
  • Previous experience working or volunteering in not-for-profit or philanthropic organisations.
  • An adaptable, resourceful and resilient professional who possesses good decision making, leadership and stakeholder management skills.
  • Enthusiasm for working with children and families.
  • Passion for helping others.
