SHIPPING DOCUMENT SPECIALIST

• Able to coordinate, prepare and process inbound, inbound & transhipments.
• Must have experience in pick and pack processes as well as delivery processes.
• Has knowledge on shipment flows and shipping incoterms.
• Good understanding of documents and information related to goods and shipments such as packing lists, invoices, country of origin, weights, dimensions, sea and air ports.
• Able to accurately and timely prepare shipping/trade documents such as packing list, proforma invoices, commercial invoices, certificate of origin, Bills of Lading, Airway Bills, Letters of Credit, shipping insurance, import and export permits etc.
• Collate all export shipping documents; perform basic checks; scan to buyers; negotiate it against the LCs received with banks; and file these documents
• Monitor and co-ordinate with carriers/freight forwarders for booking and shipment delivery.
• Coordinate with shipper and consignee of shipping schedules, delivery, shipment updates and warehousing requests.
• Coordination with external logistics stakeholders such as transporters, warehouse operators, truckers, freight forwarders etc to ensure smooth & timely handling of cargo.
• Coordinate with banks and financial institutions on trade documents.
• Ensures inbound and outbound are shipped out/delivered as per schedule.
• Liaise with internal team and external customers and resolve customer requirements and operational issues.
• Manage and conduct periodic cycle counting to always ensure inventory accuracy & integrity.
• Knowledge of some partial accounting processes Like Delivery Orders, Invoicing, AP & AR.
• Prepare Cheque and/or Online payments to vendors on timely manner.
• Maintaining and preparing appropriate & feasible filing system to review supporting documents & reports when needed.
• Able to provide leadership in managing a team in warehouse operation functional needs.
• Undertake and co-ordinate tasks as assigned by senior management.
• Shows initiative in improving warehouse and operational processes.
• Read emails and reply promptly
• Capable and alert in managing multiple shipments at same time
• Proficient in Microsoft Office, especially Excel and Outlook
• Good command of English oral and written communication skills
• Ensure compliance and alertness in workplace safety.
• Other administrative and ad hoc duties such as packing and deliveries if needed. Candidates may be required to do some heavy lifting of cargo.
• Work style meticulous, rigorous, have a strong work enthusiasm and sense of responsibility.
• Overall good behaviour, attitude and team player will support this application strongly.
