As the School Administrator (SA) of MAE, the incumbent plays a vital role in supporting the Chair of MAE to provide leadership in various aspects of the school's administrative initiatives including technical operations to drive organizational excellence to achieve the strategic goals and objectives of MAE. He/She is expected to lead in the development and implementation of organisational strategies, policies, standards, structures, systems and practices to achieve the overall goals of the School.

In overseeing business operations, processes, initiatives and resources, the SA will provide integrated efficient and effective administrative services within the school, which is aligned with the School's strategic goals and objectives and the University's policies and processes. The SA will also provide foremost support to the School Management on strategizing and setting up of new initiatives, such as Capital Campaigns, Continuing Education, Community Engagement and External Relations.

As a member of the School Management Committee, the SA will work closely with Chair and Associate Chairs in the formulation and review of policies to ensure the smooth and efficient operation of the administrative systems and processes throughout the School. This would also include active participation in the evolution of college-school relationship, organization reviews and partnering the central administrative offices in various administrative excellence projects in the university. In addition, the SA will provide foremost support to the School Management on strategizing and setting up of new initiatives, such as Capital Campaigns, Continuing Education, Community Engagement and External Relations.

Your key responsibilities include (but not limited to):
  • Chart the strategic directions and roadmaps of MAE in alignment with University's goals / new or changes to policies of the school by reviewing, recommending and driving process improvements to MAE's structure, systems, policies and procedures with the aim of improving productivity, efficiency and effectiveness in operations.
  • Work with the central administrative offices and College to align and coordinate workflow processes between functions and departments within NTU.
  • Provide leadership and guidance to administrative / technical functions of the school and ensure all services are carried out smoothly and efficiently.
  • Plan and review manpower allocation in order to achieve efficient use of resources and adequate support provided to faculty members, students and other stakeholders.
  • Conduct and review performance appraisals for all direct reporting MSOs. Assist and advise Chair in MSO performance appraisal calibration exercise
  • Proactively develop, review and drive improvements in the School's structure, systems, policies, processes and procedures with the aim of enhancing organizational effectiveness and creating an effective and conducive work environment.
  • Oversee the overall financial operations of the school including financial reporting and analysis, budget planning and monitoring, as well as asset management, for financial effectiveness.
  • Analyze, provide recommendations and proposals to redesign and reinvent current MAE space to further enhance and optimize usage for admin office, teaching and research facilities.
  • Ensure lab and admin operations are in line with the Statutory requirement and University's safety standards.
  • Ensure operations are in accordance with ISO45001/BizSAFE Star safety standard.


Requirements:
  • A recognized university degree, preferably from Mechanical or Aerospace Engineering
  • Prior experience in an institute of higher learning will be an added advantage
  • At least 15 years of working experience, with at least 8 years of experience in a senior managerial role with a proven track record
  • Knowledgeable about MAE industry trends, challenges, and opportunities
  • Excellent verbal and written communication skills
  • Excellent collaborative, influencing and leadership skills
  • Excellent interpersonal and communication skills to build a sense of community within the school
  • Strong in strategic thinking and has an analytical mind
  • Confident and proactive with demonstrated dynamism and resourcefulness in problem solving
  • Highly adaptable and self-motivated with lots of initiative to take on new challenges
  • Able to redesign processes to achieve better and more efficient work performance
  • Attention to details
