Cafe Operation Manager

Position Overview:
This role aims to oversee the daily operations of Just Brewin, ensuring an exceptional experience for our customers while maintaining high standards of service and quality. This role involves managing all aspects of the cafe, including staff supervision, inventory control, facilities management, and the safety and security of the community space. The individual will play a key role in fostering a welcoming atmosphere and promoting the values of Just Brewin.
Principal Duties and Responsibilities:
1. Cafe Operations Management:
• Oversee daily cafe operations, ensuring smooth service and customer satisfaction.
• Develop and implement operational policies and procedures to enhance efficiency and quality.
• Monitor and manage inventory levels, ordering supplies, and controlling costs to maximize profitability.
• Ensure Food hygiene safety
• Step in to support front-of-house operations (customer service, floor management, etc) during staff shortages.
• Provide basic kitchen support where necessary, including food preparation or coordination, to ensure uninterrupted service.
2. Staff Supervision and Development:
• Train and supervise cafe staff, promoting a positive and productive work environment.
• Conduct regular performance evaluations and provide ongoing coaching and support to team members.
• Schedule staff shifts and manage labor costs effectively.
3. Facilities Management:
• Ensure the cafe and community space are clean, organized, and well-maintained at all times.
• Oversee maintenance and repairs of equipment and facilities, coordinating with external vendors as needed.
• Implement and monitor compliance with health and safety regulations and all licensing requirements.
4. Security and Safety:
• Establish and enforce safety protocols to protect staff, customers, beneficiries and the community space.
• Conduct regular safety inspections and address any potential hazards.
• Preventing any illegal activities carried out at the community space.
• Develop and implement emergency response plans and conduct safety drills.
5. Community Engagement:
• Foster a welcoming atmosphere that encourages community interaction and engagement.
• Collaborate with local organizations and businesses to promote events and initiatives that benefit the Just Brewin community.
• Gather and respond to customer feedback to continuously improve the cafe experience.
6. Financial Management:
• Prepare and manage the cafe budget, ensuring financial targets are met.
• Analyze financial reports to identify areas for improvement and implement corrective actions as needed.
• Oversee cash handling procedures and ensure compliance with financial policies.
• Familiar with the POS System implemented and managed all reports
• Managing the Petty cash for JBI.
7. Managing Booking of Facilities:
• To oversee the scheduling and booking of the multi-purpose room. Prepare the room for events, ensuring all necessary equipment and materials are in place. Conduct thorough handover and take-over checks of the Multi-Purpose Hall (MPH) rental agreements. Address any discrepancies or issues identified during the checks.
8. Managing of Fixed assets and service Maintenance:
• To manage and control all fixed assets within Just BrewIN, the multi-purpose hall, pantry, and the three rooms on level 2. Conduct regular audits of fixed assets to ensure proper inventory and maintenance.
• To ensure all service agreements are fulfilled and maintained to a high standard, maintain a Database of Service Providers.
9. Food Preparation & Barista Preparation:
• Proficiency in cooking and preparing quality dishes from the menu, while experience in coffee and beverage preparation and skills in brewing espresso-based drinks, steaming milk, and crafting flavorful beverages for customers.
10. Others:
• To manage the adoption of art paintings within the Just BrewIN Café and liaise with Yellow Ribbon to facilitate art payment and replacement of Art piece.
• To draft, review, and implement and regularly update required SOPs for Just BrewIN and level 2 of the Community Space to ensure smooth operations and compliance with regulations.
• To perform any other duties as assigned by his superiors for the purpose of fulfilling organisational needs.
Supervision Received:
Supervision is provided by the reporting supervisor. Position requires ability to perform with minimal supervision.
Supervision Exercised:
4 Café staff
Core Competencies:
• Prior experience in both service and basic food preparation roles within an F&B environment.
• Basic Barista skills or experience in a café setting will be advantageous.
• Food Safety Level 1 certification or willingness to complete it if not already obtained.
• Ability to manage service flow and kitchen coordination during high-volume periods.
• Proficient in MS Office.
• Good team player and have strong problem solving skills, communication and interpersonal skills.
• Excellent organizational and time-management skills, including ability to handle multiple tasks simultaneously and juggle priorities.
• Ability to work with tight deadline and is strong with follow up.
• Ability to work under pressure.
