Facilities Manager

Work Dynamics - Integrated Facilities Management

The Facilities Manager is responsible to assist the account in charge for the delivery and performance of FM contract deliverables for assigned sites. The role is the key point of contact with local client and key stakeholders across client sites for the areas of responsibility and its occupants, and act as their service provider liaison.

Facilities Management
  • Establish a "Safety First" culture across sites and improve safety performance by championing our level of awareness and changing all staff and partner safety behaviours.
  • Provide leadership and guidance to the team as required to ensure delivery and achieve of high client service standards.
  • Provide formal supervision to employees. Monitor the training and development of staff. Conduct performance evaluations and coaching. Oversee the recruiting and hiring of new employees.
  • Schedule and manage the team's daily activities
  • Coordinate and manage facility repairs and maintenance by working with technicians, vendors and contractors.
  • Maintain positive client relationships and conduct meetings on unresolved facility issues.
  • Prepare and manage capital projects, operating budgets and variance reports.
  • Perform facility inspections quality quality assurance following local regulations or standards. Suggest operational efficiencies, repairs, and upgrade opportunities.
  • Ensure compliance by ensuring renewal of all related government and statutory licenses.
  • Ensure audit programs are fully implemented and complied with for quality assurance purposes
  • Liaise with Technical team to plan, assign and supervise planned and reactive activities utilizing Corrigo
  • To check on site repair and maintenance carried out by subcontractors to ensure work completion, quality and method of working for compliance with specification and ordinance requirements
  • Oversee vendor relationships and invoicing procedures. Review price quotes for the procurement of parts, services and labor for O&M related works/projects
  • Identify, troubleshoot, and resolve day-to-day and moderately complex issues which may or may not be evident in existing systems and processes.
  • Develops and maintains a proactive relationship with internal and external customers and understand business needs of local customer
  • Achieve Key Performance Indictors and Service Level Agreement targets
  • Participate in emergency evacuation procedures including crisis management and business continuity.
  • Conduct regular site inspections to ensure high standards are maintained
  • To perform additional tasks as required by account in charge

Resources Management
  • Cascade account objectives to the team into our JLL team's Performance measuring system (Workday)
  • Maintain an effective succession plan for yourself and all team members.
  • Manage and engage in the on-going performance review process for all direct reports by required due dates.
  • Arrange reliever support for required roles within the account

Vendor Management
  • Monitor, measure and report upon the performance of all specialist vendors in terms of their ability to carry out the work against the agreed contractual budget
  • Co-ordinate meetings periodically with contractors to ensure that required standards are established and maintained, and develop corrective action plans when, or if performance falls below expectations
  • Program the attendance of specialist subcontractors at site ensuring strict adherence to client and JLL processes and procedure including Permit to Work, Method Statement and Risk Assessment.
  • Work with supply chain to ensure the selection, procurement and management of specialist vendors

Financial Management
  • Effectively manage site operating expenses to meet the budget.
  • Assist with the production of capital expenditure and operational expenditure plans
  • Ensure all financial processes are following and compliant as per JLL and clients' competitive bids process, issuing of PO's, and receipting work.

Education & Qualification
  • Bachelor's Degree preferred with 5 - 7 years of relevant experience. In lieu of a degree, a combination of experience and education will be considered. Facility Management certification preferred.
  • Experience in the areas of staffing, training development, coaching, mentoring, measuring, appraising, and rewarding performance and retention preferred.
  • Ability to guide the exchange of sensitive, complicated, expectations and handle problems.
  • Leadership skills to motivate team impact on quality, efficiency, and effectiveness of the job discipline and department
  • Extensive organizational skills with a strong inquisitive mindset
  • Experiences in account operations and management.
  • Knowledge in local statutory requirements

Skills
  • Pleasant personality, strong customer service, interpersonal skills and problem solving ability.
  • Good understanding of facilities operations / housekeeping management
  • Computer skills in Microsoft Office, PowerPoint, Excel
  • Independent, self-motivated, flexible, responsible and willing to work under pressure.
  • Knowledge of standard business and accounting practices.
  • Knowledge of Excel and ability to analyse data.
