You will provide administrative and operational support for the various initiatives in the Division of Medicine and the Medicine Academic Clinical Program (ACP) such as:

• Assist in coordinating grant calls, sponsorship applications, awards nomination, collation of replies/ returns, handling related enquiries and updating of database.
• Support and track clinical service improvement and innovation projects.
• Co-ordinate and provide administrative support for meetings: prepare agenda and/or presentation materials, logistics; attends meeting and takes minutes, and assists supervisor in tracking progress update.
• Assist in planning and organising events, activities and programs in both virtual and physical format.
• Assist in updating of internet and intranet pages to improve communication efficiency.
• Handle financial claims and purchase orders; ensure follow through with Finance on the reimbursement flow, and ensuring that appropriate procurement practices are applied using the relevant procurement platforms.
• Performs liaison functions to ensure smooth information flow within the division and/or with the relevant departments / external organizations.
• Work closely with various stakeholders to administer necessary paperwork required for successful application or disbursement of funds.
• Draft replies for routine correspondences and follow up on the required signatories.
• Performs other related duties as assigned and provide coverage as required.

Job Requirements:

• Diploma Holders, 2-3 years relevant experience will be favourable.
• Proficiency in Microsoft Office especially in MS Excel
• Good interpersonal skills, team player who is able to work independently
• Meticulous and organised with good planning skills
• Knowledge in Robotic Process Automation (RPA), and Python programming languages will be a bonus.
