We are seeking for a dynamic individual to assist the Store manager with daily operations and safety of the Chemical Store at the School of Chemistry and Chemical Engineering and Biotechnology (CCEB).

The Senior Executive supports the Chemical Store Assistant Manager in managing the high-volume needs of students, research teams, and faculty at the School of Chemistry, Chemical Engineering, and Biotechnology (CCEB). Responsibilities include handling bulk purchases of chemicals and consumables, forecasting, data analysis, negotiating with suppliers, managing deliveries, and overseeing the online inventory system. The role also involves monitoring stock availability, managing monthly invoicing and intra-billings for research teams, and coordinating chemical waste disposal.

Responsibilities

Safety compliance
  • Adhere to and promote safety protocols and procedures to ensure and uphold safety compliance
  • Implement proper handling and storage practices for hazardous materials
  • Assist the safety committee in maintaining a safe and organized work environment
  • Ensure storage of chemicals and solvents is kept within the allowed maximum capacity approved by statutory authorities
  • To work closely with the Safety committee and safety officer on the safety regulations for the Chemical Store at both Nanyang Link and Nanyang Drive
  • To assist the safety officer with the safety regulations and enforcement for flammable hazardous substances, bio and chemical waste regulations, SCDF and SPF-regulated chemicals such as explosive precursors, etc.
  • Ensure proper documentation of controlled chemicals
  • Conducting regular safety inspections on chemical storage facility, arranging repairs or maintenance, and providing training to staff/intern student on safe handling procedures


Daily Store Operations
  • Accept supplier deliveries and process delivery orders for the research groups and Chemical Store, inspecting and checking that actual item received are in satisfactory condition
  • To execute product and material handling and movement within the chemical store in compliance with established policies, procedures and standards
  • Organize received items within the receiving area or designated storage locations. Ensure that items are stored safely and securely to prevent damage or loss
  • Processing of internal purchases by research groups
  • Perform periodic cycle counts on goods
  • Sourcing quotations and negotiating with suppliers enables competitive bulk purchasing, achieving cost savings and financial efficiency for the Chemical Store.
  • Forecasting and monitoring inventory availability in the Chemical Store to ensure continuous supplies to meet the demands of the undergraduate teaching labs and research labs activities.
  • Regular stock availability updates in the in-house CBC Store Online Inventory System.
  • Communicate, negotiate and provide feedback to vendors on any issues pertaining to the above
  • Assisting in any other ad-hoc duties assigned by the reporting manager


Waste Management
  • Proper waste management in accordance with current government regulations and safety requirements from collection to disposal.
  • Submission of NEA E-tracking documentation for waste collection
  • Ensure all waste disposal by research groups adheres to safety requirements as set down by the relevant statutory authorities, including NEA and SCDF
  • Work closely with internal Safety Team in waste management, ad-hoc disposal of chemicals


Finance
  • On-time generation and processing of monthly invoices from the inventory system to research groups
  • Maintain an up-to-date record of invoices, accounts and special grants
  • Liaising with all stakeholders including inter / intra schools and departments to ensure all transactions are processed and credited into the school operating budget.
  • Maintains detailed records of all financial transactions involve chemical store


Requirements
  • Possess at least a Diploma/Degree in Logistics/Warehousing/Chemistry/Engineering/science-related discipline
  • 1-3 years prior experience in the educational/logistics/warehouse with a science background is preferred
  • Possess knowledge of basic chemistry/biology/engineering, safety regulations, waste management, basic finance. SAP System is an added advantage
  • Ability to use data and apply robust analytics to analyze cost, impact, risk and benefits
  • Knowledge of chemical safety regulations and best practices
  • Effective negotiation and resourceful in finding competitive pricing for the consumables/ chemicals/solvents for stakeholders
  • Resourceful and independent
  • Ability to work effectively under pressure
  • Proactive and a positive attitude towards work tasks
  • Conscientious team player
