Reporting to the Assistant Director, Lead, Academic Learning (Undergraduate Programmes), the incumbent is pivotal in enhancing the quality and delivery of our undergraduate academic programmes, ensuring a meaningful, enriching, and impactful experience for our students. This role provides essential support in the planning and execution of academic operations within the Academy's Undergraduate Programmes, contributing to the smooth running of academic and student-related activities, supporting the Academy's mission to deliver quality education and nurture entrepreneurial talent.

Key Responsibilities:
1. Support Student Management Processes:
- Tracking course completion and progression of students and ensure accurate student records
- Support students with special educational needs and handle ad-hoc requests as directed
- Provide assistance in academic advisory activities, including coordination with students, faculty and administrative staff
2. Support Programme Management (SMiE and MiE):
- Maintain accurate programme information and ensure accessibility for students and faculty.
- Process and track enrolment and withdrawal requests and update records accurately.
- Assist in class and assessment scheduling, course registration and related administrative matters.
- Assist in managing teaching and learning resources such as setting up NTULearn and booking teaching venues and other logistical support.
- Support inbound and outbound student exchange programmes.
- Assist in assessment result review and submission, ensuring data accuracy.
- Provide secretarial support for meetings and decisions.
- Assist in managing and executing Student Feedback on Teaching (SFT) and course evaluation processes.
3. Support Team Coordination and Administration:
- Maintain the team calendar and rosters, including leave applications and event duties.
- Manage and maintain the team's repository for information and Standard Operating Procedures (SOPs) for easy access and retrieval
4. Support Management of Projects and Initiatives:
- Provide administrative and logistical support and coordination for events, programmes, projects, and initiatives
- Support outreach Instructors, Fellows, Student engagement and development events and activities
- Perform any other ad-hoc duties as assigned by the Lead or Senior Management
Requirements:
- A diploma or bachelor's degree with at least 3 years of relevant experience in academic programme administration within Institutes of Higher Learning or equivalent.
- Strong organisational and multi-tasking abilities to handle various responsibilities efficiently.
- Good communication skills (oral and written) and the ability to collaborate effectively with students, faculty, and external stakeholders.
- Meticulous, self-driven, and a proactive team player with attention to detail.
- Proficiency in Microsoft Office applications (particularly MS Word and Excel) is essential; familiarity with learning management systems is an advantage.
