The Senior Executive will support the Assistant Manager in faculty recruitment operational and administrative matters as well as the Faculty Affairs Office in ensuring that accurate & timely services are provided in an effective and efficient manner.

Faculty Recruitment and Events support
  • Provide support to compile and profile applicants' background information i.e. publications, citations and h-index, grants, etc. and verify applicants' data for School Search Committee's (SSC) evaluation.
  • Prepare list for shortlisted applicant for detailed comparison study.
  • Update application and evaluation status promptly. Ensure applications are reviewed by SSC within the given timelines.
  • Arrange for SSC meetings and take simple minutes.
  • Plan visit programme, research and teaching seminars.
  • Coordinate with Associate Chair (Student) office to get sufficient students and collate student feedback scores.
  • Arrange for LCC Specialist. Collate results of teaching survey.
  • Process reimbursement claims of faculty's meal & faculty candidate's travel expenses.
  • Purchase of vouchers and process students' vouchers for attending lectures.
  • Prepare dossier for submission to College.
  • Plan and coordinate Faculty Affairs Office events as well as recruitment or faculty initiatives.
  • Support the logistics and planning of meetings, events, including venue bookings, catering, coordination with faculty and unit managers where necessary.
  • Assist in putting up entertainment claims by faculty who are on recruitment trip/mission.
  • Datamining and profiling of potential international candidates; create database for easy references.
  • Undertake other duties and tasks assigned by Senior Management, as well as secretariat duties for SSC meetings, etc.


Requirements:
  • Minimum good diploma from a recognized institution
  • Strong interpersonal skills and ability to manage stakeholders across different levels
  • Service-oriented and willing to go above and beyond job requirements to serve the School
  • Prior experience in recruitment process and events planning will be advantageous
  • Resourceful with the ability to work independently as a team member with minimal direction
  • Able to work independently and in teams with cross-department members, stakeholders and others in the organization
  • Excellent command of English with excellent writing skills
  • 3 - 5 years of relevant professional experience preferred
  • Demonstrates flexibility and adaptability according to changing needs and priorities
