To provide effective administrative support in research-related matters to assist faculty and researchers from the School of Materials Science and Engineering (MSE) enabling pro-active and efficient operation of the research unit. Efficient research administration requires a broad knowledge base that spans across Human Resource, Finance and Graduate Education domains. An outstanding research administrator should be able to assimilate the knowledge from diverse domains, navigate and resolve inherent domain ambiguities, bridge the knowledge gaps across domains and provide a one-stop solution supporting faculty on their grant administration and guiding them on their queries on hiring and project spending.

Responsibilities:
  • Coordinate and disseminate various grant calls.
  • Assist principal investigators (PI) in grant proposal submission by providing administrative support and ensuring compliance with requirements of funding agencies.
  • Facilitate the setting up of research accounts on research systems.
  • Assist PI in grant budget phasing, budget expenses, manpower-related activities, grant variation requests and ensure the compliance with the grants guidelines and university policies.
  • Coordinate and assist PI and school in various reports of research projects.
  • As unit manpower officer to assist PI in research manpower related activities such as hiring, renewal, transfer, etc.
  • Facilitate the establishment of various research agreements by liaising with PIs and other stakeholders such as collaborators, legal, finance departments, funding agencies etc.
  • Maintain the databases of research projects.
  • Coordinate and assist PI and school in various reporting as required by relevant stakeholders such as funding agencies, research support office, other departments, etc, pertaining to research projects.
  • Assist and follow up in financial requirements of research projects such as grant claims, project audits, project cashflow projection, annual budget projection etc.
  • Any other ad-hoc initiatives and assignments undertaken by the Office.


Requirements:
  • At least a Bachelor degree in relevant field
  • Working experience in research grant administration would be an advantage
  • Working experience in procurement and finance support would be an advantage
  • Good command of written and spoken in English
  • Proficient in Microsoft Office applications, Awesome in Excel
  • Initiative with good organizational skills
  • Good communication and interpersonal skills
  • Project and financial management skill would be an advantage.
  • Meticulous, resourceful and able to work independently and under pressure
  • Customer-service oriented with a positive work attitude
