The President's Office comprises of the University's Leadership team that provides institutional leadership and drives the advancement of the University. The job holder will manage and coordinate various administrative and operational tasks to ensure the smooth running of the operations in the President's Office.

We are looking for candidates who thrive working in a dynamic environment; and is adept working with multiple stakeholders. Specifically, the candidate will provide comprehensive and seamless administrative support to the President's Office in the following areas:

  • Manage all finance matters for the office. This includes coordinating yearly budget requests to ensure that there are sufficient funds available for operational needs and preparing monthly budget projections and reports to keep track of expenses. Where required, work with internal stakeholders to manage budget virement/transfer/reclassification
  • Track fund disbursements to vendors and ensure financial arrangements are made in a timely manner
  • Manage procurement matters for the office. This includes the preparation of Invitation-to-Quote specifications of purchases/services required, evaluations of proposals submitted and justification for awarding of vendors
  • Ensure full functionality of general office, meeting rooms and office equipment
  • Oversee the maintenance contract and renewals for all equipment and facilities in the office.
  • Coordinate with other departments, vendors and contractors for any renovation, IT/Audio Visual equipment upgrade or refurbishment work as and when required
  • Oversee all other office administration matters including but not limited to logistical arrangements for off-site meetings/retreats, staff welfare activities, onboarding of new staff, managing of phone lines/office key boxes, setting up of card accesses to new staff/ contract staff and/or visitors.


Requirements
  • Entry Level candidates with Bachelor's degree or Diploma holders with 1-2 years of working experience in an administrative support role.
  • Meticulous, responsible and able to follow through all work assignments independently
  • Proficient in Microsoft applications, such as Word, Excel and Powerpoint
  • Good written and verbal communication skills
  • Well-organised and possess good time-management skills
