Responsibilities

Organise executive programmes, online courses, customised in-house courses, public enrolment courses (Professional Development Courses) or customised events:
  • Arrange all the logistics to ensure the smooth and successful running of the programmes /courses including such activities as scouting for event venues, caterers, accommodation, organising social events, handling enquiries, preparation of course materials and ensuring that vendors deliver goods and services that meet expectations to run the programmes smoothly.
  • Plan, recommend, brief, and organise manpower to facilitate on-site event operations to ensure timely delivery of goods and services to internal and external customers.
  • Process all the event details accurately in the Customer Relationship Management (CRM) System so that course and events are properly tracked.
  • Liaise with internal stakeholders (such as trainers, schools, lecturers, finance, IT department) to ensure the smooth planning and running of programme/course.

Events organization, management and efficient logistical support:
  • File and monitor applications from CRM and assist in updating course information into CRM system to ensure the smooth course registration process.
  • Obtain the necessary documentation for commissioning of internal and external trainers so that lecturers / trainers are timely appointed.
  • Liaise with facilities provider for classroom and equipment arrangement, arrange accommodation, transport including airport transfers, including carpark arrangement.
  • Liaise with clients and participants for relevant information e.g., VISA, work with OAS on the student passes matters.
  • Coordinate with other departments such as ODFM, NEC and Housing & Auxiliary Services for accommodation and use of sports facilities.
  • Liaise with Alumni Affairs Office for networking events and award of alumni membership.
  • Request teaching materials from course lecturer for preparation for teaching materials work.
  • Prepare certificate of attendance for participants and attendance list.
  • Prepare and compile course evaluation forms.
  • Issue invoices, receipts and monitor payment status.
  • Attend to queries from public and students pertaining to the programmes/ courses
  • Update course status in database.
  • Process bill payments.
  • Maintain proper records for course documents.

Manage post training administration:
  • Update of courses databases to ensure course information is complete and could be collated when needed.
  • Follow-up on outstanding matters after the programmes to ensure good customer service delivered


Requirements:
  • Bachelor's degree in related field, preferably data management
  • Minimum 3 years of relevant administrative experience
  • Strong experience with IT applications, such as Microsoft Office
  • Good communication and interpersonal skills
  • Meticulous, organised and able to multi-task under pressure
  • Strong team player
