Job Overview

We are seeking a highly organized andproactive Office Administrator & Sales Coordinator with near-nativeJapanese proficiency to support our office operations and sales team. The idealcandidate will handle administrative tasks, assist with basic accountingduties, and act as a key point of contact for Japanese-speaking clients andpartners. This role requires a professional who can seamlessly transitionbetween office management, customer engagement, and sales coordination in abilingual environment.

Key Responsibilities
  1. Office Administration & Accounting Support
  2. Manage daily office operations, including supplies, equipment, and vendor coordination.
  3. Assist with basic bookkeeping, expense claims, and invoice processing.
  4. Maintain organized financial and administrative records.
  5. Customer Registration & Front Desk Support
  6. Greet and register walk-in customers, capturing their interests and inquiries.
  7. Serve as the first point of contact for visitors and direct them to the appropriate team members.
  8. Sales Coordination & Customer Relationship Management
  9. Support the sales team with lead tracking, customer follow-ups, and database management.
  10. Participate in business dinners and networking events to maintain and strengthen client relationships.
  11. Translation & Meeting Coordination
  12. Attend and facilitate meetings as a coordinator and translator (Japanese-English).
  13. Assist in project handover meetings, ensuring clear communication between Japanese-speaking clients and internal teams.
  14. Prepare bilingual materials and minutes for meetings as needed.

Mandatory Requirements
  • Language Proficiency: Fluent Japanese, close to native-speaker level is preferrable.
  • Work Arrangement: Part-time or Full-time onsite work.
  • Basic accounting knowledge (bookkeeping, expense claims, etc.).
  • Customer service or sales support experience is a plus.
  • Fresh graduates or interns are welcomed.

Preferred Qualifications
  • Certificates in Business Administration, Accounting, or relevant.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and basic accounting software.
  • Strong interpersonal and communication skills.
  • Ability to multitask and adapt in a fast-paced environment.
  • Fluent in Japanese, Mandarin, and English
