Administrative & HR Assistant (Full-Time)

About the Role

Zenith Facility Services Pte Ltd is hiring an Administrative & HR Assistant to support our daily office operations and basic HR functions.

This is a hands-on, junior role in a lean team. You will work closely with the Managing Director and internal team members, supporting day-to-day administrative tasks and assisting with HR-related processes. This role is suitable for someone who is organised, willing to learn, and comfortable handling routine tasks responsibly.

Guidance and training will be provided, especially for candidates at the early stage of their career.

Key Responsibilities

Administrative Support
  • Support daily office administration, including office supplies, assets, and vendor coordination.
  • Answer phone calls, manage emails, and handle correspondence professionally.
  • Maintain proper filing and records (physical and digital).
  • Assist in coordinating meetings and preparing basic documentation.
  • Support processing of expense claims, petty cash, and vendor invoices.
  • Provide administrative support to the Managing Director and internal team.
  • Assist with office events, staff activities, and internal meetings.

Human Resources Support
  • Assist with recruitment activities such as job postings, resume screening, and interview scheduling.
  • Support employee onboarding, induction, and preparation of HR documentation.
  • Maintain employee records, attendance, and leave tracking.
  • Assist in drafting standard HR letters (e.g. offer letters, confirmations, internal notices).
  • Support training coordination and staff engagement activities.
  • Assist in ensuring HR matters follow company policies and local requirements.

Initiative & Follow-Through
  • Highlight issues encountered during admin or HR work and suggest simple, practical solutions where possible.
  • Follow up on assigned tasks until completion, seeking guidance when unsure.
  • Learn to anticipate common issues and flag them early.
  • Support improvements to basic workflows and administrative processes.

Requirements

  • Diploma in Business Administration, Human Resources, or a related field.
  • Minimum 1 year of relevant experience preferred
    (Fresh graduates and entry-level candidates are welcome).
  • Willingness to learn and take responsibility for assigned tasks.
  • Organised, detail-oriented, and careful with documentation.
  • Able to communicate clearly and work well with colleagues and vendors.
  • Comfortable using Microsoft Office / Google Workspace; training on HR systems will be provided.
  • Positive, practical attitude with a basic problem-solving mindset.
  • Interest in developing a long-term career in administration or Human Resources.
