As an Assistant Facilities Manager for an industrial portfolio, your role encompasses both hard and soft services. Here are some key responsibilities you may have in this position:
Responsibilities:
Hard Services Management:
- Oversee maintenance and repairs of industrial facilities, including mechanical, electrical, plumbing, and structural systems.
- Collaborate with contractors and suppliers to ensure high-quality service delivery.
- Conduct regular inspections and implement preventive maintenance programs.
- Manage building automation and energy management systems.
- Coordinate with the Health and Safety team to ensure compliance with regulations.

Soft Services Management:
- Manage day-to-day operations of soft services, such as cleaning, waste management, landscaping, and pest control.
- Source and manage service providers to ensure they meet quality standards.
- Develop and implement cleaning schedules and standards.
- Monitor and track service levels, identify areas for improvement, and implement corrective actions.
- Manage office services, including reception, mailroom, and security services.

Relationship Management:
- Build and maintain strong relationships with tenants and stakeholders.
- Collaborate with internal teams, such as leasing, project management, and finance, to meet tenant needs.
- Address tenant requests and resolve issues promptly.
- Conduct regular meetings with tenants to gauge satisfaction levels and identify potential improvements.
- Maintain open communication channels with all stakeholders

Budgeting and Financial Management:
- Assist in budget preparation and monitor expenses within approved budgets.
- Review and process invoices, ensuring accuracy and adherence to agreed terms.
- Develop cost-saving initiatives without compromising service quality.
- Monitor and report on financial performance, highlighting any deviations or trends.

Emergency Preparedness and Business Continuity:
- Establish and maintain emergency response plans for industrial facilities.
- Conduct regular drills and train employees on emergency procedures.
- Coordinate with external agencies and first responders for emergency preparedness.
- Develop and implement business continuity plans to minimize disruptions.

Sustainability Initiatives:
- Identify opportunities to improve energy efficiency and sustainability within the industrial portfolio.
- Implement sustainable practices, such as waste reduction and recycling programs.
- Stay updated on industry trends and best practices related to sustainable facilities management.
