Personal Assistant
LIGHTSPEED CORPORATION PTE. LTD.
This role is predominantly focused on providing personal support to the Directors (approximately 80%), with the remaining 20% covering general administrative support. It is not a corporate secretarial role.
i) Provide comprehensive personal secretarial and administrative support to the Directors.
ii) Proactively manage the Directors personal calendars, including appointments, dining arrangements, flightschedules and meetings.
iii) Arrange travel arrangements (flight, hotel, visa, transport, dining etc) including for Private Jet as required.
iv) Facilitate meetings (including taking meeting minutes, equipment set-up, sending reminders), workshops, conferences, seminars, events, business-related activities, and organizing catering when necessary.
v) Primary point of contact for the Directors, liaising with internal and external stakeholders on personal andadministrative matters.
vi) Travel overseas with the Directors when required to provide on-site personal and administrative support.
vii) Handle requests, feedback, and queries quickly and professionally, and with a high level of discretion.
viii) Process and manage personal expense claims for Directors.
ix) Handle personal purchases, including online procurement of items as requested by the Directors and family.
x) Coordinate with drivers for transport requests for the Directors when required.
xi) Run personal errands for the Directors and family when required.
xii) Coordinate with overseas PAs as and when required.
xiii) Assist with the preparation of PowerPoint presentation slides or any other office work required.
xiv) Experience in supporting C-suite or ultra-high-net-worth individuals in a personal capacity is preferred.
xiv) Any other ad-hoc duties assigned.
Pre-Requisites
i) Diploma in Business Administration or related disciplines.
ii) At least 5 years of relevant experience in the hospitality industry or similar capacity.
iii) Excellent communication skills (both written and oral).
iv) Strong team player with excellent interpersonal skills.
v) Pro-active, versatile, and highly independent with a positive working attitude.
vi) Able to work late on occasion weekends when the need arises.
vii) Able to travel at least 50% of the time and out of office 80-90% of the time.
viii) Ex-cabin crew will be an advantage.
ix) Able to start work immediately will be an advantage.
x) Experience in supporting C-suite level.
