Shared Services Center Project Manager - HR Technology & Automation

Role Overview

We are seeking a mid-senior level Project Manager to lead end-to-end implementation of HR and Shared Services solutions, with a strong focus on business analysis, gap analysis, process optimisation, and technology-driven automation. This role bridges HR operations and technology by identifying improvement opportunities, recommending solutions, and ensuring successful implementation and adoption.

Key Responsibilities
  • Lead the planning, execution, monitoring and delivery of HR technology and shared services projects from initiation to go-live.
  • Act as the primary project manager to assist in define scope, objectives, timelines, deliverables, and success criteria.
  • Conduct gap analysis between current HR workflows/processes and desired future state to identify inefficiencies, control gaps, and automation opportunities.
  • Perform business process analysis across HR functions (e.g., recruitment, onboarding, payroll workflows, employee lifecycle) to understand operational pain points.
  • Translate business needs into functional requirements, process maps and solution designs.
  • Recommend technology and automation solutions (workflow tools, system enhancements, integrations) to improve efficiency and data accuracy.
  • Work closely with stakeholders to optimise and enhance the QuickHR HRMS platform and related systems.
  • Facilitate stakeholder workshops, requirement sessions and solution walkthroughs.
  • Manage project risks, issues, dependencies and change control processes.
  • Coordinate cross-functional teams including HR, IT, operations, and vendors where required.
  • Support change management, communication, training and adoption of new processes/systems.
  • Track project KPIs and report progress to management.
  • Maintain documentation such as:
  1. Business Requirement Documents (BRD)
  2. Gap analysis reports
  3. Process flow diagrams
  4. Test scripts and user guides

Required Qualifications
  • Bachelors degree in Business, HR, Information Systems or related field.
  • ~5-10+ years of experience in project management and business analysis.
  • Proven experience in HR workflow transformation, shared services, or HRIS-related projects.
  • Strong experience in: Gap analysis, Requirements gathering, Process mapping, Solution evaluation
  • Understanding of core HR operational processes.
  • Knowledge of automation tools, RPA, or workflow solutions.
  • Experience delivering technology-enabled process improvements.
  • Strong stakeholder engagement and communication skills.
  • Ability to work independently as an individual contributor while influencing multiple functions.
