Role Overview
We are seeking a mid-senior level Project Manager to lead end-to-end implementation of HR and Shared Services solutions, with a strong focus on business analysis, gap analysis, process optimisation, and technology-driven automation. This role bridges HR operations and technology by identifying improvement opportunities, recommending solutions, and ensuring successful implementation and adoption.
Key Responsibilities
- Lead the planning, execution, monitoring and delivery of HR technology and shared services projects from initiation to go-live.
- Act as the primary project manager to assist in define scope, objectives, timelines, deliverables, and success criteria.
- Conduct gap analysis between current HR workflows/processes and desired future state to identify inefficiencies, control gaps, and automation opportunities.
- Perform business process analysis across HR functions (e.g., recruitment, onboarding, payroll workflows, employee lifecycle) to understand operational pain points.
- Translate business needs into functional requirements, process maps and solution designs.
- Recommend technology and automation solutions (workflow tools, system enhancements, integrations) to improve efficiency and data accuracy.
- Work closely with stakeholders to optimise and enhance the QuickHR HRMS platform and related systems.
- Facilitate stakeholder workshops, requirement sessions and solution walkthroughs.
- Manage project risks, issues, dependencies and change control processes.
- Coordinate cross-functional teams including HR, IT, operations, and vendors where required.
- Support change management, communication, training and adoption of new processes/systems.
- Track project KPIs and report progress to management.
- Maintain documentation such as:
- Business Requirement Documents (BRD)
- Gap analysis reports
- Process flow diagrams
- Test scripts and user guides
Required Qualifications
- Bachelors degree in Business, HR, Information Systems or related field.
- ~5-10+ years of experience in project management and business analysis.
- Proven experience in HR workflow transformation, shared services, or HRIS-related projects.
- Strong experience in: Gap analysis, Requirements gathering, Process mapping, Solution evaluation
- Understanding of core HR operational processes.
- Knowledge of automation tools, RPA, or workflow solutions.
- Experience delivering technology-enabled process improvements.
- Strong stakeholder engagement and communication skills.
- Ability to work independently as an individual contributor while influencing multiple functions.
