Job Summary

You will deliver professional business reception and administrative coordination to support organizational efficiency. Manage project assistance, document preparation, and meeting logistics while providing essential support to management and finance functions.

Responsibilities
  • Greet company visitors courteously and professionally to uphold a positive corporate image
  • Answer and direct incoming phone calls efficiently to ensure smooth communication flow
  • Execute daily administrative tasks with accuracy to maintain office operations
  • Translate documents between Chinese and English to facilitate cross-language communication with Hong Kong counterparts
  • Prepare business correspondences, presentation materials, meeting minutes, and reports to support internal and external communications
  • Draft formal documents including company profiles and business plans to contribute to business development efforts
  • Support the preparation of proposals and reports to assist project and funding applications
  • Organize and maintain project-related documents to ensure accurate tracking of project progress and deadlines
  • Coordinate government funding applications by compiling necessary documentation and tracking submission status
  • Schedule and coordinate appointments, meetings, and events to optimize time management and stakeholder engagement
  • Manage registration and travel arrangements to support business trips and events
  • Conduct preliminary reviews of employee expense claims and organize invoices to support finance operations
  • Follow up on payment documentation to ensure timely processing of financial transactions
  • Perform other administrative or ad-hoc tasks assigned by supervisors to support team objectives
  • Provide personal assistance for management's personal and family matters as required
  • Undertake occasional outdoor work to fulfill job responsibilities as needed
  • Ad hoc duties assigned by management

Requirements

  • Minimum 2-3 years of experience in an administrative or secretarial role
  • Fluency in Cantonese and Mandarin is essential to liaise with Chinese-speaking clients, partners, suppliers, and associates
  • Excellent verbal and written communication skills, with the ability to interact professionally at all levels
  • Strong administrative, documentation, and meeting coordination skills
  • Highly organized, with excellent time management and attention to detail
  • Flexible and responsive, with the ability to be reachable when required
  • Proven ability to multitask and prioritize in a fast-paced environment
  • Professional appearance and etiquette, with a courteous and receptive manner
  • Willingness to travel on short notice and adapt to a flexible working style
