Job Summary
You will provide administrative and order processing support to the Project Department, coordinating with internal teams and suppliers to ensure accurate and timely order fulfillment and documentation management.
Responsibilities
- Perform order fulfillment entries in internal systems for projects, replacements, and prototypes, including raising purchase orders and verifying specifications, drawings, and order confirmations
- Coordinate with internal factories, local and overseas suppliers, and subcontractors to ensure smooth and timely order processing
- Collaborate with the Operations team to resolve order-related queries promptly
- Liaise with Sales and Sales Support teams to confirm order accuracy regarding specifications and committed lead times
- Prepare, maintain, and organize all project-related documentation to ensure completeness and accessibility
- Compile Operations & Maintenance Manuals (OMM) and related documentation accurately
- Provide administrative support to the Project Department to facilitate daily operations
- Carry out other ad-hoc duties as assigned
Required competencies and certifications
- Proficient in Outlook, Microsoft Word, Excel, and PowerPoint to support documentation and reporting tasks
- Good command of written and spoken English to communicate effectively with internal teams and external suppliers
- Ability to work independently with minimal supervision while contributing as a cooperative team member
- Strong communication and interpersonal skills to coordinate across multiple departments and external partners
- Detail-oriented and well-organized to manage documentation and order processing accurately
- Self-motivated and proactive to handle workload under pressure and meet deadlines
Preferred competencies and qualifications
- Minimum GCE "N" or "O" Level, Diploma holders, or Fresh Graduates are welcome to apply
