Work Control & Administration

• \tAssist in monitoring daily work schedules, manpower deployment, and attendance records.

• \tCoordinate work orders, service requests, and ad-hoc operational requirements.

• \tTrack task completion status and follow up on outstanding work.

• \tMaintain operational logs, duty rosters, and deployment records.

• \tPrepare and update reports, trackers, and operational summaries.

• \tMaintain proper filing of documents, including contracts, SOPs, permits, and correspondence.

• \tHandle email correspondence and internal coordination with operations teams.

• \tManage calendar scheduling, meetings, and appointments.

• \tCoordinate internal and external meetings, including preparation of agendas and documents.

• \tHandle confidential correspondence and sensitive information with discretion.

• \tDraft emails, letters, and internal communications as instructed.

• \tTrack action items, deadlines, and follow-ups from meetings.

• \tLiaise with departments, clients, and external parties on behalf of management.

• \tMaintain proper filing of management documents and records.

• \tAssist in preparing reports, presentations, and summaries for management review.

• \tPerform ad-hoc tasks as assigned to support daily operations.

Trainee to HR, Accounts & Logistics

• \tAssist with employee records, onboarding documentation, and attendance tracking.

• \tSupport recruitment administration and interview scheduling.

• \tAssist with data entry for invoices, claims, and expense records.

• \tSupport preparation and maintenance of basic financial and operational trackers.

• \tAssist in tracking inventory, equipment, and supplies.

• \tSupport coordination of deliveries and distribution activities.

• \tMaintain proper filing of HR, accounts, and logistics documents.

• \tProvide backup support to operations and administrative teams during staff shortages.

• \tPerform duties across departments based on operational needs and training progress.

Job Requirement

• \tMinimum Diploma or equivalent qualification; candidates with relevant experience may be considered in place of formal qualifications.

• \tRelevant experience in administration, operations support, HR, accounts, or executive support will be an advantage.

• \tProficient in Microsoft Office applications, particularly Word, Excel, and Outlook.

• \tStrong organisational skills with good attention to detail.

• \tGood written and verbal communication skills.

• \tAbility to multitask, prioritise work, and meet deadlines.

• \tResponsible, reliable, and able to work independently as well as in a team.

• \tWillingness to learn, adaptable, and able to support multiple functions when required.

• \tProfessional attitude with a high level of integrity and confidentiality.
