Job Description:

• Handle all administrative including quotation, PO, and delivery tracking
• Upload and maintain data on customer portal systems e.g. inventory control system
• Support internal processes e.g. prepare documents, track findings, etc.
• Maintain records and filing of project or order-related information
• Shipment coordination including creating and tracking Delivery Orders and Invoices in our internal system
• Monitor shipment status with logistics team and forwarders
• Proactive coordination with Japan HQ for orders
• "Forecast - Quotation - PO - Machine spec - Doc2 (Purchase spec)" discrepancy matching
• Follow up on customer's PO
• Follow up on actions required from meetings
• DPR issuance -> follow up -> PO -> shipment arrangement

Job Requirements:

• Proficient in Microsoft Word, Excel, and PowerPoint
• Comfortable with learning and using customer online portals / vendor systems
• Basic understanding of internal audit control and documentation procedures
• Strong attention to detail and accuracy
• Proactive team player with problem-solving attitude
