About the Role:

We are looking for a reliable and proactive Office Manager to oversee the smooth daily operations of our Singapore office. This role plays a critical part in ensuring a professional, welcoming, and efficient workplace environment that reflects the company's brand and values. The Office Manager will be responsible for a broad range of administrative, operational, and hospitality-related functions, including office coordination, vendor management, travel support, and workplace experience. The ideal candidate has a hands-on approach, high attention to detail, and the ability to work independently while supporting regional and international teams.

Key Responsibilities
  • Manage the overall daily operations of the office, ensuring efficiency, cleanliness, and a professional working environment
  • Coordinate and maintain relationships with external vendors and service providers to support office maintenance, procurement, and logistics
  • Oversee inventory and purchasing of office supplies and workplace essentials, ensuring timely replenishment and cost control
  • Support employee onboarding by preparing welcome kits, workspaces, and coordinating administrative arrangements for new hires
  • Act as the first point of contact for visitors and stakeholders, ensuring a warm and professional welcome aligned with brand standards
  • Provide hospitality support for VIP guests, including coordination of logistics and ensuring meeting spaces are properly prepared
  • Manage domestic and international travel arrangements, including flight bookings, accommodations, and related logistics
  • Support administrative processes related to visas, work pass applications, renewals, and compliance documentation
  • Contribute to office branding by maintaining a clean, visually appealing, and brand-aligned environment
  • Assist with company events, employee engagement activities, and internal communications when required
  • Perform other ad hoc administrative and operational duties as assigned to support the smooth running of the office

Requirements:
  • Diploma or higher in Business Administration, Hospitality, Human Resources, or a related field
  • At least 2 years of relevant experience in office administration, facilities coordination, or hospitality roles
  • Proactive, with strong organisational and multitasking skills
  • High attention to detail, especially when handling procurement and vendor coordination
  • Meticulous in managing supplies, inventory, and purchasing processes
  • High emotional intelligence and a service-oriented mindset
  • Excellent verbal and written communication skills
  • Professional presence and ability to interact with stakeholders at all levels
  • Proficiency in Mandarin is advantageous as the role involves collaboration with Chinese-speaking stakeholders
  • A valid Singapore driving license is a plus (for ad-hoc support)
  • Willingness to travel occasionally for international support when required
