Key Responsibilities
Clinic Operations & Administration
- Oversee day-to-day clinic operations, ensuring efficiency, cleanliness, and a professional environment.
- Manage clinic scheduling, appointment coordination, and patient flow.
- Supervise and support clinic staff (receptionist, nurse, part-time staff) to maintain service standards.
- Monitor inventory of medical and office supplies; liaise with vendors for procurement and maintenance.
- Ensure compliance with medical, safety, and data protection regulations (MOH, PDPA, etc.).
- Oversee billing, payment reconciliation, and coordination with insurance companies and third-party administrators (TPAs).
- Prepare operational and financial reports for management review.
Patient Service & Communication
- Uphold a high standard of patient care, ensuring courteous and efficient service from registration to follow-up.
- Handle patient feedback, service recovery, and correspondence in a professional manner.
- Coordinate referrals, investigations, and communication with external laboratories, imaging centres, and referring doctors.
Financial & Administrative Support
- Manage clinic accounts, daily cash collection, and month-end reconciliation.
- Assist in payroll processing and vendor payments.
- Track revenue, expenses, and key performance indicators (KPIs) to support clinic performance.
Regulatory & Quality Management
- Maintain accurate medical and administrative records in compliance with regulatory standards.
- Coordinate licensing renewals, audits, and inspections.
- Implement standard operating procedures (SOPs) and ensure team adherence.
Other Responsibilities
- Support the doctor in clinical operations and scheduling.
- Contribute to marketing, patient engagement, and clinic development initiatives.
- Perform other ad-hoc duties as assigned.
Qualifications & Requirements
- Minimum 3-5 years of experience in clinic or healthcare administration (specialist clinic experience preferred).
- Strong interpersonal, communication, and leadership skills.
- Proficient in clinic management systems, Microsoft Office, and digital tools.
- Familiar with MOH, PDPA, and insurance/TPS procedures.
- Resourceful, detail-oriented, and able to work independently in a small team environment.
Preferred Attributes
- Experience in managing private specialist or endoscopy clinics.
- Knowledge of medical billing systems and claim submission (Medisave, insurance, TPA).
- Customer-focused with a calm and professional demeanour.
- Ability to multitask and handle clinic operations efficiently.
