Job Title: Clinic Assistant

Office Hours: 5.5 days

Upward of $4000

Location: Gleneagles and Mount Alvernia

Key Responsibilities

Clinic Operations & Administration
  • Oversee day-to-day clinic operations, ensuring efficiency, cleanliness, and a professional environment.
  • Manage clinic scheduling, appointment coordination, and patient flow.
  • Supervise and support clinic staff (receptionist, nurse, part-time staff) to maintain service standards.
  • Monitor inventory of medical and office supplies; liaise with vendors for procurement and maintenance.
  • Ensure compliance with medical, safety, and data protection regulations (MOH, PDPA, etc.).
  • Oversee billing, payment reconciliation, and coordination with insurance companies and third-party administrators (TPAs).
  • Prepare operational and financial reports for management review.

Patient Service & Communication
  • Uphold a high standard of patient care, ensuring courteous and efficient service from registration to follow-up.
  • Handle patient feedback, service recovery, and correspondence in a professional manner.
  • Coordinate referrals, investigations, and communication with external laboratories, imaging centres, and referring doctors.

Financial & Administrative Support
  • Manage clinic accounts, daily cash collection, and month-end reconciliation.
  • Assist in payroll processing and vendor payments.
  • Track revenue, expenses, and key performance indicators (KPIs) to support clinic performance.

Regulatory & Quality Management
  • Maintain accurate medical and administrative records in compliance with regulatory standards.
  • Coordinate licensing renewals, audits, and inspections.
  • Implement standard operating procedures (SOPs) and ensure team adherence.

Other Responsibilities
  • Support the doctor in clinical operations and scheduling.
  • Contribute to marketing, patient engagement, and clinic development initiatives.
  • Perform other ad-hoc duties as assigned.

Qualifications & Requirements

  • Minimum 3-5 years of experience in clinic or healthcare administration (specialist clinic experience preferred).
  • Strong interpersonal, communication, and leadership skills.
  • Proficient in clinic management systems, Microsoft Office, and digital tools.
  • Familiar with MOH, PDPA, and insurance/TPS procedures.
  • Resourceful, detail-oriented, and able to work independently in a small team environment.

Preferred Attributes

  • Experience in managing private specialist or endoscopy clinics.
  • Knowledge of medical billing systems and claim submission (Medisave, insurance, TPA).
  • Customer-focused with a calm and professional demeanour.
  • Ability to multitask and handle clinic operations efficiently.
