About the Role
We are seeking a Junior Personal Assistant (PA) to support the Chef Owner and Head of Group Operations.
You will play a key role in managing and executing a broad range of administrative and operational tasks to ensure smooth day-to-day functioning for the leadership team. This role requires a high level of organisation, confidentiality, and initiative.

Key Responsibilities
Executive & Administrative Support
- Report directly to the Chef Owner and Head of Group Operations on all administrative matters.
- Maintain a tight and efficient calendar for the Chef Owner, including scheduling meetings, managing appointments, and coordinating internal and external engagements.
- Arrange and manage comprehensive travel itineraries - including flights, accommodation, reservations, and visa applications - for the Chef Owner, leadership team, and visiting chef guests.
- Prepare documents, meeting materials, and coordinate conference calls across different time zones.
- Handle expense claims, reimbursements, and financial forms for reporting and invoicing purposes.
- Manage and track deadlines, follow-ups, and key priorities for the leadership team.
Stakeholder & Partner Coordination
- Liaise professionally with external partners such as agencies, overseas event organisers, and collaborators to schedule appointments and manage communications.
- Support leadership correspondence with internal and external stakeholders in a professional and timely manner.
- Assist in monitoring and coordinating ad-hoc projects or communications with group entities.
Procurement & Operations Support
- Support the Head of Operations in the procurement of ad-hoc equipment, supplies, and operational needs for the restaurants.
- Oversee warehouse inventory, including kitchenware, furniture, and packaging materials.
- Conduct periodic stock counts to ensure accuracy and consistency in records.
Logistics & E-commerce Management
- Coordinate freight logistics with shipping partners, including the packing and dispatch of books and merchandise.
- Serve as the primary contact for e-commerce partners - manage monthly billings, handle guest inquiries, and ensure smooth communication.
- Oversee the restaurant's Amazon storefront, ensuring listings are accurate and updated, and follow up on payments and fulfilment.
Finance & Administration
- Work closely with the Accounts team to prepare invoices and follow up on payments.
- Maintain proper filing systems for records, reports, and documentation related to operations and finance.
Ad-hoc & Project Support
- Monitor progress of special projects and assist in meeting key deadlines.
- Collaborate with senior management to provide administrative support for ongoing initiatives.
- Perform any other related duties as assigned from time to time.
Who You Are
- Minimum 2 years of experience in a similar administrative or executive support role.
- Highly proficient in Microsoft Office and Google Workspace (Docs, Sheets, Calendar, Drive).
- Organised, proactive, and resourceful, with excellent time management and follow-up skills.
- Strong written and verbal communication in English.
- Able to handle confidential information with maturity and discretion.
- Adaptable and able to work under pressure in a fast-paced environment.
- A collaborative team player with a positive attitude and willingness to learn.
