Key Responsibilities
Facilities Operations
- Oversee daily operations, including furniture installations, relocations, HVAC systems, and vendor coordination.
- Partner with building management to address maintenance, repairs, and tenant improvements.
- Ensure compliance with Health & Safety regulations and maintain emergency preparedness plans.
- Establish and update procedures for building and FF&E upkeep.
- Develop cross-location knowledge to support seamless backup coverage.
Security Management
- Manage physical security systems and protocols to safeguard employees, visitors, and sensitive information.
- Collaborate with internal stakeholders and building security teams.
- Maintain proficiency in security software and monitoring systems.
Vendor Oversight
- Administer and review contracts for facilities-related services.
- Enforce internal vendor policies to ensure consistency, quality, and cost efficiency.
- Manage furniture inventory and conduct periodic audits.
- Prepare purchase orders, define scopes of work, solicit bids, and coordinate vendor activities.
Space Planning
- Lead departmental moves and office reconfigurations in line with company and regulatory standards.
- Support lease tracking and renewals; engage with real estate advisors and design partners.
- Prepare budgets and executive-level presentations for new offices or lease extensions.
Environmental Reporting
- Collect and submit monthly environmental data for APAC offices to global headquarters.
Qualifications
- Minimum 5 years' experience in facilities management, project coordination, or related roles.
- Strong knowledge of building operations, security systems, and office space planning.
- Proven skills in project management and vendor negotiation.
- Excellent communication and interpersonal abilities across all levels of an organization.
- Proficiency in Microsoft Office; AutoCAD experience preferred.
- Self-starter with the ability to prioritize tasks and meet deadlines.
- Willingness to travel occasionally across APAC locations.
- Bachelor's degree (or equivalent) in business administration, project management, or related field.
