Huatai Energy Pte Ltd, a thriving energy company located in Suntec, is seeking an experienced Personal Assistant and Office Supervisor to join our team.
主要职责:
• 协调和安排会议,准备会议资料,并记录会议纪要。
• 管理文件和邮件,确保文件存档井然有序。
• 接听和转接电话,处理日常通讯。
• 协助处理签证申请和其他行政事务。
• 负责办公室用品的采购和管理。
• 协助组织客户接待。
• 董事安排的其他行政助理工作,根据需要提供支持。
• 监督办公室的整体环境,包括物资,设施及设备维护。
• 制定,实施并优化办公室政策和流程。
• 作为供应商,服务提供商及大楼管理方的主要联络人。
• 与财务团队协调处理薪资,福利及采购相关事宜。
• 监督行政人员(如适用)并合理分配任务以确保工作负荷平衡。
• 支持新员工入职并确保顺利融入团队。
• 维护准确的员工出勤记录,包括合同,执照及人事档案。
• 确保遵守当地劳动法,工作场所安全及公司各项政策。
Key Responsibilities:
• Coordinate and arrange meetings, prepare meeting materials, and take minutes.
• Manage documents and emails, ensuring files are organized and archived properly.
• Answer and route phone calls, handle daily correspondence.
• Assist with visa applications and other administrative tasks.
• Manage the procurement and inventory of office supplies.
• Assist in organizing company events and team-building activities.
• Provide support for other administrative tasks as needed.
• Oversee the general office environment, including supplies, facilities, and equipment maintenance.
• Develop, implement, and improve office policies and procedures.
• Serve as the main point of contact for vendors, service providers, and building management.
• Coordinate with finance teams on payroll, benefits, and procurement-related matters.
• Supervise administrative staff (if applicable) and delegate tasks to ensure workload balance.
• Support onboarding for new employees and ensure smooth integration.
• Maintain accurate employee attendance records, including contracts, licenses, and personnel files.
• Ensure compliance with local labour laws, workplace safety, and company policies.
任职资格:
• 本科及以上学历,具备5年以上办公室主任工作经验。
• 流利的中文和英文听说读写能力,具备高度的服务意识。
• 熟练使用 Microsoft Office 办公软件 (Word, Excel, PowerPoint, Outlook)。
• 具备优秀的组织能力,时间管理能力和沟通能力。
• 细致认真,责任心强,能够在快节奏的环境中高效工作。
• 具有良好的团队合作精神和职业素养。
Qualifications:
• Bachelor's degree or above, with 5 years of experience as an office manager.
• Fluent in spoken and written Mandarin and English, with a strong service mindset.
• Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Excellent organizational, time management, and communication skills.
• Meticulous, responsible, and able to work efficiently in a fast-paced environment.
• Strong teamwork skills and professional ethics.
