Job Summary:
We are seeking a highly professional, discreet, and service-oriented Personal Assistant to provide comprehensive support to senior stakeholders across both professional and personal domains. This role includes frequent travel and residential assistance, ensuring seamless day-to-day support, hospitality, household management, and event coordination. The ideal candidate will demonstrate exceptional service standards, integrity, and the ability to anticipate needs in high-pressure, high-privacy environments.
Key Responsibilities:
• Deliver high-touch, personalised service to senior stakeholders in both office and residential settings.
• Regularly travel with or on behalf of stakeholders to ensure consistent, end-to-end support across multiple locations.
• Oversee and assist with household management, including supervision of domestic staff, vendor liaison, inventory control, and maintenance scheduling.
• Manage stakeholders' schedules, appointments, and logistics, ensuring smooth coordination and discretion.
• Handle wardrobe management, packing/unpacking, and personal shopping as required.
• Serve meals, refreshments, and manage in-home dining experiences, ensuring adherence to preferences and etiquette.
• Plan, prepare proposals for, and oversee execution of private events (e.g., dinners, social gatherings, celebrations) initiated by stakeholders, ensuring end-to-end coordination including venue, vendors, guest handling, and on-site service excellence.
• Support comprehensive travel arrangements: flight bookings, accommodation, itinerary planning, and transportation.
• Maintain residence and private spaces in optimal condition-organized, presentable, and ready for guests at all times.
• Overseas property maintenance and repairs, coordinating with contractors and service providers as required.
• Ensure security measures are implemented and function effectively.
• Response quickly and handle emergencies involving the executive and their families.
• Liaise professionally with chefs, drivers, security personnel, and external service providers.
• Handle sensitive information and personal matters with absolute confidentiality and discretion.
Requirements:
• Proven experience in a similar role serving high-level executives or ultra-high-net-worth individuals.
• Demonstrated experience managing private functions or events.
• Strong interpersonal and communication skills. Fluency in both English and Chinese is preferred, as communication with some household staff and vendors requires Chinese. Additional languages are an advantage.
• Exceptional personal presentation, service etiquette, and attention to detail.
• Flexibility to work irregular hours and travel domestically/internationally at short notice.
• Experienced in multi-residence household operations and vendor coordination.
• Trustworthy, discreet, and composed under pressure.
• Flexibility to adapt to changing priorities and requirements.
• Tech-savvy and proficient in Microsoft Office, Google Suite, and modern scheduling tools.
• Possession of a valid Class 3 driving license will be an advantage.
Preferred Qualifications:
• Formal training in butler services, luxury hospitality, or household/event management.
• Background in luxury hotels, private estates, or high-level executive concierge services.
