Overview
The successful candidate will join the NUHS Group Digital Office supporting the team in administration of the department.
Job Responsibilities
The successful candidate will support the Group Chief Digital Officer by being the main coordinator in the team to manage team meetings, events and resource distribution. They will also be an important pillar of administration through provision of support, contributing to smooth operations of the department. He/She will provide administrative support at NUHS Group Level and work with colleagues across NUHS Group and Institutions.
Job Responsibilities
• Schedule meetings, book venues, collate agendas, and manage catering requests on behalf of the GCDO. Coordinate and follow up on meeting logistics
• Schedule multi-participant meetings for GCDO team members
• Prepare agenda and materials for meetings
• Document meeting minutes, and matters arising
• Compile regular and periodic operational reports, operating and capital budgets, management, and statistical reports timely for analysis and review
• Perform procurement activities for the department
• Perform billing activities for the department including project charge out to institutions
• Perform ePay claims processing on behalf of the department
• Manage onboarding of new department members including orientation, laptop, phone lines, card access, IT access, desk location etc.
• Coordinate facilities support and maintenance e.g. printers, copiers etc.
• Maintain filing, management of SharePoint sites, and other office procedures such as User Access Matrix management
• Manage department budget including request creation, spend tracking and reporting
• Takes initiative to resolve problems within his/her capability whenever required
• Other duties as required by the GCDO
Requirements
• Diploma is preferred with at least 2 years' experience in a similar position
• Good PC skills and proficient in MS Office applications such MS Word, Excel, PowerPoint
• Team player who can work independently in a fast-paced environment to meet deadlines
• Strong interpersonal and communication skills (both spoken and written)
• Ability to interact with stakeholders at various levels of the organisation
• Organised in process and record keeping
• Positive work attitude, flexible and adaptable
• Experience in the Healthcare industry would be an advantage
