Essential Duties and Responsibilities

Recruitment
  • Manage end-to-end recruitment for non-managerial roles (office and production).
  • Post job advertisements and source candidates through various channels.
  • Coordinate with recruitment agencies on sourcing and selection.
  • Maintain a candidate database and manage applicant tracking.
  • Screen, interview, and assess candidates for suitability.
  • Prepare salary proposals for approval and conduct reference checks prior to offers.

Onboarding & New Employee Administration
  • Coordinate onboarding including work pass applications, contract signing, and orientation.
  • Ensure all employment documentation is complete and recorded in HR systems.
  • Track probation periods and coordinate timely reviews with department heads.

Exit Administration
  • Prepare exit documents and verify leave balances.
  • Conduct exit interviews and ensure completion of offboarding procedures.

Benefits Administration
  • Administer medical and insurance benefits for new joiners and leavers.
  • Ensure timely and accurate updates in benefits systems.

Payroll Administration
  • Assist in monthly payroll processing, ensuring accuracy of attendance, OT, and leave data.
  • Verify variable pay components and coordinate with Finance for disbursement.
  • Ensure statutory compliance with CPF, IRAS, SDL, and other regulations.
  • Maintain payroll records and ensure confidentiality.
  • Support timely filing of tax forms (IR8A, Appendix 8A, etc.).

Employee Relations & Engagement
  • Support department managers in handling employee relations, grievances, and disciplinary actions.
  • Coordinate employee engagement activities (e.g., annual dinner, festive events).
  • Arrange festive gifts and staff welfare initiatives.

Performance Management
  • Coordinate annual and mid-year performance appraisal cycles.
  • Support line managers in setting KPIs and conducting performance evaluations.
  • Facilitate performance calibration and ensure consistency across departments.
  • Track completion and maintain performance records.

Career Development & Progression
  • Support managers in mapping out career progression pathways for key roles.
  • Align development plans with appraisal outcomes and business needs.
  • Identify training needs and recommend suitable upskilling opportunities.
  • Track employee development and career movement in HR systems.

Reporting & Compliance
  • Prepare HR reports on headcount, turnover, leave trends, and recruitment.
  • Ensure HR policies and practices comply with Singapore employment laws.
  • Stay updated on relevant legislation and MOM guidelines.

HR Administration
  • Maintain employee records and ensure timely updates.
  • Archive files for resigned employees in accordance with document retention policies.
  • Generate HR letters and official documentation as required.
  • Renew foreign worker passes and ensure regulatory compliance.
  • Support continuous improvement of HR systems and workflows.

Profile
  • Proficient in Microsoft Office; fluent in English and Chinese.
  • Strong communication, interpersonal, and organizational skills.
  • Able to work independently and meet tight deadlines.

Recruitment

- Job posting on job portal and other channels

- Candidate search in the open market

- Work with recruitment agencies on candidate sourcing and selection

- Create database of candidates of both potential and interviewed candidates

- Screen, interview and select the right candidates for all non-managerial positions including both office and production roles

- Prepare salary proposal for review and approval before making an offer

- Conduct reference check for direct hires or ensure all reference checks are duly completed by recruitment agencies before an offer is made

New Employee Administration and On-Boarding

- Prepare all necessary on-boarding process for new employees which includes work pass application (if required), prepare and meet new joiners to sign the employment contract and documentations and uniform arrangement etc

- Prepare necessary documentation all employees

- Register all new employees thumbprint and onto HR system

- Conduct on-boarding to all new employees on HR policies and procedures and introduction to K.P.P. Packaging

- Timely follow-up on probation due date and inform department manager at least 1 month before the probation is due with the necessary documentation to complete for review

Exit Administration

- Prepare exit documents, check leave records in HR

- Conduct exit interview with all the employees where appropriate

- Ensure exit checklist is completed on the last work

- Ensure all employees has exit documents and process completed

Benefit Administration

- Insurance and Medical administration including registration for new employees, remove leavers etc

Employee Relations

- Support and work with department managers on employee relations and staffing matters

- Lead and co-ordinate employee activities and/or employee related events (Inclusive but not limited to Annual Dinner, Chinese New Year)

- Prepare and send gifts to employees on major festive of the year

Reports

- Prepare all necessary reports on a monthly, quarterly or needed basis

- Monthly review of leave records to ensure no leave issues to be missed out

HR Administration

- Maintain all relevant documents and update where necessary

- Maintain employee profiles for all employees and duly remove leavers' employee profiles and transfer the documents to archive

- Renew foreign employees' work pass in a timely manner

- Generate HR letters and documents where needed

- Keep updated on latest labour laws and government requirements

- Any other HR administration where needed

Qualifications:

- Minimum 1-2 years relevant experience in HR from manufacturing industry is preferred

Profile:

- Proficient in Microsoft Office

- Proficient in both English and Chinese

- Ability to multi-task in a fast-paced environment

- Able to work with minimal supervision to meet deadlines

- Good knowledge in HR practices in Singapore

- Good understanding of Employment Law and Payroll practices in Singapore

- Uphold Confidentiality as a HR Professional

- Proficient in communication skills, with ability to communicate with employees of

- all levels

- Good time management and good organization skills

- Responsible, proactive and positive attitude
