[Government Sector] HR Shared Services & Assistant (6 months) @ Buona Vista

Location: Buona Vista

Working Hours: Monday - Friday (Normal Office Hours)

Duration: 6 months (renewable/convertible)

Job Description:
1. HR Shared Services

  • Manage the full Data Inception process for new hire (HQ & HOMODO/CREATE/TCM) 
  • Support the pre-onboarding process
  • Assist in the creation and termination of ROPA accounts
  • Support requests for Letter of Employment
  • Collate doctors' posting information
  • Assist with other HR administrative tasks as assigned 
  • Additional responsibilities at E level:
  • Write submission
  • Liaise with vendors and internal stakeholders

2. HR Assistant

  • Checking on address on HDB website to ensure that employee is authorised tenants and updating change of address with MOM and Success Factors
  • Partner with HRBP in meeting the transfer of employment, onboarding and payroll process to ensure smooth delivery of HR services which includes:
  • Tracking outstanding or missing documents or data and updating the master spreadsheet
  • Compiling, verifying accuracy and sorting information to prepare source data for data inception, transfer and payroll processing 
  • Reviewing data and correcting any deficiencies, errors or any inconsistencies.
  • Compiling date required to facilitate transfer of employment to PHIs.
  • Provision of salary info, leave and medical claims utilisation to cluster to facilitate the transfer of employment
  • Maintenance of Leave approver set-up in Success Factors
  • Work with and follow up with internal stakeholders on onboarding and payroll matters
  • Creating user guides for frequent asked issues
  • Facilitating the 6 monthly and yearly check-up for work permit holders (high volume)
  • Scheduling appointments for Nurses and HCAs (high volume)
  • Provide onsite support to Nurses and HCAs on Success Factors technical issues and tutorials on how to use Success Factors (e.g. medical claims submission)
  • Clean up and maintenance of Nurses and HCAs P-file on SharePoint
  • Administrative duties assigned such as data entry, filing, printing and scanning of document (high volume)
