A. HUMAN RESOURCES (HR) RESPONSIBILITIES

1. Recruitment & Onboarding
  • Assist in job posting on MyCareersFuture, JobStreet, LinkedIn, etc.
  • Screen resume and arrange interviews
  • Prepare offer letters and employment contracts
  • Coordinate onboarding and employee induction
  • Maintain probation and confirmation records

2. Employee Records & HR Administration
  • Maintain and update employee personal files
  • Update HR system with employee information
  • Prepare HR letters (confirmation, warning, promotion, transfer)
  • Handle resignation, clearance, and exit documentation
  • Maintain staff directory and organization chart

3. Payroll & Statutory Support
  • Assist in monthly payroll preparation
  • Track attendance, overtime, and leave records
  • Prepare CPF submission data and support CPF filing
  • Assist with IR8A, IR21, and annual payroll reporting
  • Liaise with Accounts or payroll vendors

4. Leave, Attendance & Compliance
  • Process leave applications and update balances
  • Monitor medical leave and MC submission
  • Ensure compliance with Employment Act & MOM regulations
  • Assist with work pass matters (WP, S Pass, EP)

B. SALES ADMINISTRATION RESPONSIBILITIES

5. Sales Support & Coordination
  • Prepare sales quotations, proposals, and invoices
  • Issue sales orders and delivery orders
  • Coordinate with sales team, customers, and operations
  • Maintain customer database and sales records
  • Follow up on customer enquiries and documentation

6. Order Processing & Documentation
  • Process purchase orders and sales orders
  • Track order status and delivery schedules
  • Prepare job folders and project documentation
  • Support contract and agreement documentation

7. Billing & Reporting Support
  • Assist in billing and invoice preparation
  • Coordinate with Accounts on AR matters
  • Prepare sales reports for management
  • Maintain proper filing of sales documents

C. GENERAL & ADMINISTRATIVE DUTIES

8. Office & Administrative Support
  • Handle general office administration duties
  • Manage incoming calls, emails, and correspondence
  • Coordinate office supplies and vendors
  • Support management with administrative tasks

9. Compliance & Confidentiality
  • Maintain strict confidentiality of HR and sales information
  • Ensure proper documentation and record-keeping
  • Perform ad-hoc duties as assigned by management

Skills & Requirements (Optional)
  • Knowledge of Singapore Employment Act & CPF
  • Experience in HR administration and sales support
  • Good communication and coordination skills
  • Proficient in MS Excel, Word.
  • Able to multitask and work independently

1. HR Experience (Must-Have)
  • 1-3 years experience in HR administration or HR assistant role
  • Hands-on experience with employee records & HR documentation
  • Experience handling recruitment coordination (job posting, interviews,onboarding)
  • Basic knowledgeof Singapore Employment Act & MOM regulations
  • Experience supporting payroll, CPF submission, leave & attendance
  • Familiarity with IR8A / IR21 (at least support level)

2. Sales Administration Experience(Must-Have)
  • 1-3 years experience in sales admin / admin support role
  • Experience preparing quotations, sales orders, invoices
  • Ability to coordinate with sales team, customers, and operations
  • Experience handling customer enquiries & documentation
  • Knowledge of basic order processing & billing workflow

3. Systems & Software Experience
  • Proficient in MS Excel, Word, Outlook
  • Experience using HR systems / payroll systems
  • Experience with accounting or ERP systems (e.g. Xero, QuickBooks, SAP, or similar)
  • Ability to prepare reports and tracking sheets

Nice-to-Have (Not Mandatory but Advantage)
  • Experience in construction/ engineering / trading industry
  • SkillsFuture claim experience
  • Sales support or customer service exposure
  • Basic accounting or AR knowledge
