The HR & Admin Assistant supports the Human Resources and Administration functions by handling daily HR operations, employee records, recruitment coordination, and general administrative duties. This role plays a key part in ensuring smooth office operations, compliance with company policies, and effective employee support.
Key Responsibilities
Human Resources Duties
- Assist in recruitment activities, including job postings, interview coordination, and onboarding arrangements
- Prepare employment documents such as offer letters, employment contracts, and confirmation letters
- Maintain accurate and up-to-date employee records, personnel files, and HR databases
- Support payroll preparation by tracking attendance, leave records, and overtime
- Assist in handling employee queries related to HR policies, leave, and benefits
- Ensure HR processes comply with company policies and relevant labor regulations
- Support disciplinary documentation, investigations, and HR reporting when required
Administrative Duties
- Provide general administrative support, including filing, document control, and correspondence
- Manage office supplies, vendor coordination, and basic procurement
- Assist in managing dormitory, accommodation, or employee logistics if applicable
- Coordinate internal communications, notices, and administrative announcements
- Support scheduling, meeting arrangements, and management of company records
Requirements & Qualifications
- Diploma or equivalent qualification in Human Resources, Business Administration, or a related field
- fresh graduates is also considered.(training will be provided)
- Basic knowledge of employment laws and HR best practices
- Good organizational skills with attention to detail and confidentiality
- Strong communication and interpersonal skills
- Proficient in Microsoft Office (Word, Excel, Outlook)
Preferred Skills (Advantageous)
- Experience handling foreign workers, permits, or government submissions
- Familiarity with HR systems or payroll software
