Job Responsibilities

1. HR Administration & Contract Management

  • Prepare employment contracts, renewal letters, and freelance agreements in accordance with company policies.
  • Maintain and update employee personnel files and HR databases accurately.
  • Support recruitment activities - posting job ads, shortlisting candidates, scheduling interviews, and onboarding new hires.
  • Assist in attendance tracking, leave administration, and payroll preparation.
  • Handle staff claims, medical leave, and benefit matters with confidentiality and accuracy.
  • Ensure HR policies and documentation comply with MOM and Employment Act regulations.

2. Academy Operations Support

  • Coordinate daily academy operational matters, including class scheduling, trainer assignment, and learner attendance updates.
  • Prepare and maintain operational documents such as trainer contracts, course agreements, and attendance reports.
  • Liaise with trainers, learners, and internal departments to ensure smooth course operations.
  • Support administrative tasks for SkillsFuture (SSG) and TPGateway submissions, including attendance, assessment, and funding documentation.
  • Assist in logistics coordination for classrooms, materials, and equipment setup.
  • Provide administrative support for audits, compliance checks, and internal reporting.

3. Employee & Stakeholder Support

  • Assist in organizing staff engagement activities, workshops, and training sessions.
  • Serve as a point of contact for employee and trainer enquiries.
  • Support management in implementing operational improvements to enhance efficiency.

Job Requirements

  • Diploma or Degree in Human Resource Management, Business Administration, or related field.
  • Fresh graduates or candidates with up to 2 years of relevant experience are welcome to apply.
  • Basic knowledge of HR operations, payroll, and Singapore Employment Act preferred (training will be provided).
  • Proficient in Microsoft Office (Excel, Word, PowerPoint); experience with HR or accounting systems is an advantage.
  • Strong attention to detail, excellent organizational skills, and a proactive attitude.
  • Good communication and interpersonal skills; able to multitask in a fast-paced environment.
  • Bilingual in English and Mandarin to liaise with Mandarin-speaking staff, trainers, and learners.
