As an HR Executive in the logistics sector, you will play a key operational role in supporting workforce planning, recruitment, work pass administration, employee relations, and HR compliance across multiple sites such as warehouses, distribution centres, and transport yards. This position requires hands-on involvement with frontline teams, coordination with site supervisors, and close attention to labour law compliance, especially for blue-collar workers and shift-based operations.
Key Responsibilities -
Recruitment & Onboarding:
• Support full-cycle recruitment for warehouse assistants, drivers, forklift operators, logistics coordinators, and administrative staff.
• Coordinate interviews, prepare job offers, and manage onboarding logistics (uniforms, access cards, training schedules).
• Ensure timely manpower deployment and smooth integration of new hires.
Work Pass & Foreign Worker Management:
• Manage applications, renewals, transfers, and cancellations of Work Permits, S Passes, and Employment Passes via MOM.
• Maintain up-to-date tracking of pass expiry dates and quota usage (including foreign worker levy management).
• Coordinate with dormitory operators and ensure compliance with accommodation and health regulations.
HR Operations & Administration:
• Maintain accurate employee records, contracts, and HR documentation in HRMS and physical files.
• Support leave, claims, medical benefits, insurance, and other employee-related administration.
• Assist in preparing HR letters (confirmation, transfer, disciplinary, resignation, etc.).
Payroll Support:
• Collate attendance records, overtime (OT) sheets, shift allowances, and variable payments from operations.
• Assist in preparing monthly payroll inputs for processing and verifying payroll reports.
• Liaise with finance/payroll vendors to resolve discrepancies.
Employee Relations & Engagement:
• Act as a point of contact for worker grievances and escalate complex cases to the HR Manager.
• Assist in organizing employee welfare initiatives, festive celebrations, health & safety briefings, and engagement activities.
• Monitor absenteeism and staff morale and provide monthly reports to management.
Training & Development:
• Coordinate training schedules for operational safety (e.g., forklift certification, WSQ modules).
• Track training records and support training grant applications (e.g., SSG, e2i).
• Assist in onboarding sessions and refresher training planning.
HR Compliance & Reporting:
• Ensure all HR practices comply with Singapore Employment Act, MOM guidelines, CPF, and IRAS regulations.
• Support internal and external HR audits.
• Prepare and update HR reports: headcount, turnover rate, training hours, and disciplinary actions.
Job Requirements -
Education:
• Diploma or Degree in Human Resource Management, Business Administration, or equivalent
Experience:
• 2-5 years of HR generalist experience, ideally in logistics, warehousing, or related industries
Language Skills:
• English required; ability to communicate in Mandarin/Malay/Tamil an advantage (for blue-collar worker interactions)
Tech Proficiency:
• Proficient in Microsoft Office, especially Excel; familiar with HRMS tools like Prosoft, Timesoft, or Workday
Legal Knowledge:
• Working knowledge of Employment Act, MOM regulations, CPF, and IRAS submissions
Key Competencies:
• Strong interpersonal and communication skills to liaise with both operational staff and management
• Detail-oriented and organized, especially in handling payroll and work pass data
• Adaptable and able to thrive in a fast-paced, multi-shift, labour-intensive environment
• High integrity and respect for confidentiality in HR matters
