The Assistant Operations Manager is responsible for executing day-to-day operations activities, ensure staff adopt agility and align to department strategy execution on Supply Chain & Operations on Inbound, outbound, Order management. The job holder is to manage the workflow & SOP; supervise a strong and highly engaged team to enable organisation's sales growth & profitability, product management and customers & suppliers' engagement. He/she is to maintain excellent alignment with senior management team in term of strategy, process, system and People management.
CRITICAL WORK FUNCTIONS & KEY TASKS
1. Supply Chain Planning and Inventory Management
a) Strategize regional planning and execute Inventory planning effectiveness through process & system.
b) Optimise inventory management to support business growth, maintain service level and eliminate waste to ensure optimal Total Supply Chain Cost and DSI.
c) Support new products Launch on time and efficiently.
d) Adopt and engage team member on continuous improvement mindset.
e) Lead process to ensure optimal Inventory management and accountable for On-time in Full metric (OTIF)
f) Manage the overall aging stocks to avoid write off
g) Manage supply chain risk and formulate Business Continuity Plans
2. Sales Forecast
a) Strategize and Lead sales forecast modelling, analyse trends and engagement with stakeholder in facilitating exception management.
b) Formulate and execute monthly review cycle with Sales & Marketing in capturing markets intelligent to improve sales forecast accuracy.
c) Manage and Plan for dynamic demand situations
d) Achieve high accuracy of budgeted forecasts
3. Procurement
a) Oversee team to generate suppliers purchase orders to best meet organisation objectives.
b) Engage and audit suppliers on their capability to supply products on time, and at right price and cost.
c) Strategize suppliers' supply route to organisation.
d) Support management in reviewing annual contract and pricing to ensure competitiveness.
4. Order to Cash Management
a) Oversee Order to Cash process to ensure efficient order management and customers satisfaction across all organization business channels (i.e. D2C(Retail), Online, B2B, Sleep Study etc)
b) Manage and ensure orders, back orders and fulfilment to meet committed SLA.
c) Ensure Stakeholders satisfaction
5. Logistics & Warehouse Management
a) Oversee the development and execution of efficient logistics, transportation and warehouse services.
b) Management of service providers in adherence of service level, frequency, customer satisfaction and compliance.
c) Formulate and keep track of optimising the logistics cost, space utilisation and safe handling of products and delivery.
d) Ensure organization's operations meets standards and requirements (ie SS620 / GDPMDS, ISO, etc)
6. Project Management (Supply Chain)
a) Define project scope and quality requirements with stakeholders.
b) Implement and manage schedules and targets on the project as needs or financing for the project change
c) Forge successful relationships with the stakeholders to produce informed, effective, and efficient solutions with optimal user acceptance
d) Establish metrics for evaluating successful process implementation
e) Establish an appropriate governance structure (Lean, Agile, etc) and change control activities to manage the project.
7. Regulatory and Compliance
a) Deploy effective regulatory registration filing and compliance to maintain organisation growth, product quality and compliance standard.
b) Ensure timely regulatory filing and update to support New Products Introduction and on-going business operation.
c) Uphold highest organisation standard and manage cost and adherence effectively.
8. People Management & Development
a) Promote and support progressive people management frameworks and policies to better attract, retain and develop talent:
b) Lead performance management and learning & development, adopting and leveraging on Skills Frameworks and other relevant frameworks.
c) Recruit, orientate, lead and guide the team, ensuring that the day-to-day duties are carried out according to standards and requirements.
d) Engage, mentor and motivate team members to excel and grow them personally and professionally.
e) Manage staff issues and appraise their performance
QUALIFICATIONS, SKILLS & EXPERIENCE REQUIRED
1. Excellent leadership skills including leading projects with broad scope, cross functional nature, and an impact within and outside own department.
2. Facilitate in-depth understanding of all aspects of the business and supply chain, Operation and execution to support strategies including total delivered cost, profitability, inventory turns, service levels, technology adaptation.
3. Excellent communication skills (with staff, peers, and Upper management) and ability to develop rapport with other functional leaders inside Organisation and Suppliers to influence decision making.
4. Strong problem solving and negotiation skills.
5. Drives changes, challenges status quo and makes recommendations for improvements to products and processes.
6. Demonstrate team leadership with proven track record in developing and sustaining relationships that contribute to the success of the organization. Guide team to be effective and efficient in execution.
7. BS/Diploma in Business/Supply Chain related field with minimum 5 years' experience in a supply chain/operations management field required.
