1. Event Planning and Coordination:

  • Collaborate with clients or internal teams to understand event requirements and expectations.
  • Assist in setting event goals and objectives.
  • Coordinate with vendors, suppliers, and other external partners for logistics (e.g., catering, AV equipment, furniture, transportation).
  • Oversee scheduling and ensure that the event follows a timely plan.
  • Ensure compliance with regulations, safety standards, and legal requirements for the event.

2. Team Management:

  • Supervise and lead a team of event coordinators, staff, and volunteers.
  • Assign tasks and responsibilities to team members and ensure they are executed efficiently.
  • Provide training and guidance to staff on event procedures, customer service, and safety protocols.
  • Ensure that staff is motivated, productive, and equipped to handle their responsibilities.

3. On-Site Event Management:

  • Oversee the setup and teardown of events, ensuring all logistical elements are in place (e.g., signage, seating, decorations).
  • Monitor the event's progress, troubleshoot issues, and make real-time decisions to address challenges.
  • Liaise with event clients, ensuring satisfaction and addressing any concerns or issues that arise.
  • Ensure smooth operations during the event, including managing crowd control, coordinating speakers or performers, and ensuring the schedule is adhered to.

4. Post-Event Duties:

  • Oversee post-event evaluations and feedback collection from clients and staff.
  • Ensure that all post-event procedures (e.g., cleanup, return of rented equipment) are completed promptly.
  • Provide event reports and data analysis, including evaluating the success of the event and recommending improvements for future events.

5. Client Relations:

  • Serve as the primary point of contact for clients during the event's operational phase.
  • Maintain strong relationships with clients, ensuring their needs are met and expectations are exceeded.
  • Address any client feedback or complaints efficiently and professionally.
