General Summary:

Responsible for ensuring smooth and effective delivery of Live Online, Face to Face and Blended Journey programs, by taking care of all technical, materials and logistical aspects of all modalities of Leadership Solutions programmatic interventions. Actively manages the timeline and resources of projects assigned and maintains and monitors project plan including deliverables and time frame.

Serves as the primary contact to program participants, communicating to them relevant information, ensuring completion of assessments, resolving any issues with them.

Primary Accountability:

1. For Live Online program design and delivery

- Makes the session run smoothly on all Virtual Delivery Platforms such as Zoom, Webex, Blue Jeans etc.., troubleshooting technical issues for anyone attending the session, loading polls, managing annotations or whiteboards, launching Breakout Rooms and contribute to facilitation in support of the lead facilitator(s)

- Works with program designer, faculty & creative visual design team on conceptualising and finalising digital participant workbook (if applicable)

- Collaborates with the program designer to create an optimal environment for effective learning

- Working with the facilitator(s), cover all of the technical elements, allowing the facilitator to focus on delivering the session objectives and guide the learners through the session content

2. For Face to Face program delivery

- Ensures that program venue is adequately equipped logistically (main training space, breakout rooms, IT and other audio visual equipment, catering etc) for a successful delivery

- May on occasion research and propose to Client Account Managers or Project Managers in the Client Facing Team (BD) appropriate external venues for successful deliveries

- Collaborates with the program designer and facilitators to create an optimal environment for effective learning

- Ensures that all program and classroom materials are assembled and delivered to the location of the program in good time and order and return shipped back to CCL offices as needed

- Works with program designer, faculty & creative visual design team on conceptualising and finalising conventional hard copy in-classroom program participant workbook

3. For Blended Learning journeys (which may include CLA platform and other digital/virtual content elements in addition to Live Online and Face to Face as above)

- Ensures that the CCL Leadership Accelerator (CLA) platform is set up properly for the journey, and that relevant assets (as directed by the program Designer(s) are uploaded and available to the participants

- Collaborates with the designer to address the technical aspects of curating digital content.

4. For programs in all modalities

- Actively manages the timeline and resources of projects assigned and maintains and monitors project plan including deliverables and time frame

- Works closely with the Learning Journey Support Executives to set up Program requirements in key ERP type systems and ensures adequate resources and capabilities are available

- Prepares vital communications for key client contact and all program participants in close consultation with various Internal Stakeholders

- Serves as the principal contact for program participants and assists participants with any logistics (including travel visa and accommodation) / content / material needs for the successful delivery and execution of client program

- Follows up closely with participants, raters and key client contacts to ensure timely completion of all program assessments prior to start of the program and provides regular status update reports to clients

- Uploads Assessments or launches Compass on the Delivery Support Tool to ensure timely coach and participant access

- Executes automated Program and/or Coaching evaluations with assistance from the Learning Journey Support Executives

- Works with the Learning Journey Support Executives to ensure that all ICEAs or Purchase Orders (work assignments details including Fee information) that need to be issued for Associate Resources are sent 2 weeks before program

- Performs an after action review to continue reiterating areas well executed, review areas of improvement and consolidate any changes needed in design for future runs (if applicable)

- Completes all milestones in ERP systems for Finance to initiate accurate and timely Client Invoicing

- Captures time spent as an Internal Resource in ERP Time Tracking System

- Launches any Post Program activity (e.g. E-Learning, Reflections Assessments) in a timely manner

- Manages programs within allocated budget and gross margins. Liaises directly with Finance to ensure the project remains within allocated budget/costs throughout the length of the project. Informs Finance when to prepare invoice, checks for accuracy and signals agreement for release to the client once the program is delivered

- Creates system entries in critical CCL Internal systems including Web Resourcing Tool (WRT) or Dynamics 365 PSA and F & O Modules for requesting appropriate Faculty, Coach and Operations Resources; Epicor for Service Enterprise (E4SE) or PSA and F & O Modules in Dynamics 365 for Class and Project creation of Program, Participant, Assessment and Client information for accurate launch & invoicing; Internet Assessment System (IAS), CCL Leadership Accelerator, Assessment Portal, Other 3rd Party Client Assessment Systems and Delivery Support Tool for the timely assignment (individual, group and aggregate reports), completion and scoring of assessments by participants / (as and when needed)

- Scores of straggler Assessments in CCL Access. Guides clients through the assessment completion process, ensures accurate client understanding and adherence of process, provides tutorials on web-based technology to clients, and follows up as necessary. Provides assessment updates for the purpose of problem solving and collection of missing assessment submissions. Acts as the point of contact for client issues and questions with feedback reports or other assessments

Deep competence in the use of virtual facilitation and digital learning technologies and tools.
Experienced and used to managing complex projects and dealing with very high-level senior managers at "C" Level or "C-1" and "C-2" levels in a professional and mature manner.

Educational Qualification/ Experience/Work Background

- Strong communication and organizational skills

- Experience with popular content management systems, with deep knowledge of CLA platform a plus

- Strong proficiency in the optimal and smooth use of functionalities in popular virtual collaboration and training platforms including Zoom, Webex Training.

- Ability to manage multiple projects in a fast-paced, deadline-driven environment. Must demonstrate excellent time management skills and have the ability to work independently.

- Detail oriented with a high standard for quality.

- Proven ability to build consensus and work effectively within a cross-functional team.
