Roles & Responsibilities:

The person will assist to coordinate Administrative and Operational services for A&G Singapore to support departmental functions.

This will require the person to work as part of a team, and may include, but not limited to the following responsibilities:
  • Arranging and coordinating meetings, including scheduling, organizing agenda, sending invites, booking meeting rooms, coordination on setting up required equipment
  • Planning and organising both internal and external events, managing internal and external stakeholders, including supporting onsite, and preparing after-event reports.
  • Assist in tracking and monitoring project timelines, milestones, and deliverables. This may relate to vendor management, as well as engaging with logistics and courier contractors
  • With relevance to Business Continuity Processes, to assist in monitoring the progress and effectiveness of project quality and coordinate all quality related correspondence.
  • Compiling, preparing, and ensuring timely submission of all necessary reports. This may include travel arrangements, including flight reservation, hotel accommodation, and visa applications.
  • Oversee and review payment request, goods and service acceptance, and acknowledging expenses claims.
  • Perform additional tasks as needed.
  • Oversee the maintenance of office facilities, grounds, and equipment
  • Manage and work with third-party vendors and contractors for maintenance services such as cleaning, auxiliary air con and other essential services
  • Handle contract negotiations and renewals
  • Ensure the facility adheres to health, safety, and environmental regulations
  • Conduct safety inspections and risk assessments
  • Maintain records of maintenance schedules, contracts, and compliance reports
  • Handle all questionnaires from the Business Development (BD) team by providing relevant information related to admin areas

Skills / Qualifications:
  • Minimum 3 years of related experience, preferably in administrative and events experiences in MNC company.
  • Good communication and interpersonal skills
  • PC literate with knowledge in MS Office (e.g. Word, Excel, PowerPoint, Outlook).
  • Pleasant composure, cheerful disposition, good phone etiquette and positive working attitude
  • Independent and has good initiative
  • Able to start work immediately
