The person will assist to coordinate Administrative and Operational services for A&G Singapore to support departmental functions.
This will require the person to work as part of a team, and may include, but not limited to the following responsibilities:

The person will assist to coordinate Administrative and Operational services for A&G Singapore to support departmental functions.
This will require the person to work as part of a team, and may include, but not limited to the following responsibilities:
- Arranging and coordinating meetings, including scheduling, organizing agenda, sending invites, booking meeting rooms, coordination on setting up required equipment
- Planning and organising both internal and external events, managing internal and external stakeholders, including supporting onsite, and preparing after-event reports.
- Assist in tracking and monitoring project timelines, milestones, and deliverables. This may relate to vendor management, as well as engaging with logistics and courier contractors
- With relevance to Business Continuity Processes, to assist in monitoring the progress and effectiveness of project quality and coordinate all quality related correspondence.
- Compiling, preparing, and ensuring timely submission of all necessary reports. This may include travel arrangements, including flight reservation, hotel accommodation, and visa applications.
- Oversee and review payment request, goods and service acceptance, and acknowledging expenses claims.
- Perform additional tasks as needed.
- Oversee the maintenance of office facilities, grounds, and equipment
- Manage and work with third-party vendors and contractors for maintenance services such as cleaning, auxiliary air con and other essential services
- Handle contract negotiations and renewals
- Ensure the facility adheres to health, safety, and environmental regulations
- Conduct safety inspections and risk assessments
- Maintain records of maintenance schedules, contracts, and compliance reports
- Handle all questionnaires from the Business Development (BD) team by providing relevant information related to admin areas
Skills / Qualifications:
- Minimum 3 years of related experience, preferably in administrative and events experiences in MNC company.
- Good communication and interpersonal skills
- PC literate with knowledge in MS Office (e.g. Word, Excel, PowerPoint, Outlook).
- Pleasant composure, cheerful disposition, good phone etiquette and positive working attitude
- Independent and has good initiative
- Able to start work immediately
