Manage group accommodation logistics, event coordination, and client communication with precision and efficiency. Ensure that operational teams are well-informed and aligned to deliver events that meet client expectations and maximise revenue opportunities.
Responsibilities / Duties:
Group Room Coordination
- Manage group rooming lists, arrival and departure patterns, and special guest requests.
- Coordinate with Reservations and Front Office to ensure accurate block management and smooth check-in/check-out processes.
- Prepare and distribute detailed group resumes and internal memos to relevant departments (Housekeeping, Concierge, Front Desk, etc.).
- Monitor group pickup trends, release dates, and provide updates to Sales and Revenue teams.
- Handle VIP arrangements, amenities, and special requirements for group organisers and key attendees.
Event & Catering Coordination
- Review Banquet Event Orders (BEOs) and work closely with Culinary, Banquet, and AV teams to ensure all details are accurately executed.
- Conduct pre-event briefings and post-event reviews with clients and internal stakeholders.
- Oversee on-site logistics including event setup, service flow, and guest experience management.
- Serve as the primary point of contact during events, resolving issues swiftly and effectively.
Client & Guest Relations
- Build and maintain strong client relationships through proactive communication and professional service.
- Support Sales Managers during client site inspections and event walkthroughs.
- Ensure all contracted services and deliverables are fulfilled to exceed client expectations.
Administrative & Reporting Duties
- Maintain accurate records of correspondence, event changes, and billing details.
- Compile post-event feedback and assist with billing reconciliation and reporting.
- Prepare reports, forecasts, and event summaries as required.
- Adhere to departmental policies and procedures, ensuring consistent compliance.
System Knowledge & Collaboration
- Proficient in hotel systems such as Opera, Delphi, or equivalent.
- Familiarity with analytical and reporting tools such as Revinate, Agency360, Demand360, Cvent, Lanyon, Sabre, and Duetto is advantageous.
- Work collaboratively with all departments to support operational efficiency and guest satisfaction.
Other Responsibilities
- Undertake additional tasks or projects assigned by management to support the hotel's Catering & Events business objectives.
- Demonstrate flexibility in adapting to evolving business priorities and guest requirements.
Key Skills and Requirements:
- Diploma or Degree in Hospitality Management or related field preferred.
- Prior experience in hotel event services, catering, or front office operations strongly preferred.
- Strong organisational, coordination, and multitasking skills with keen attention to detail.
- Excellent interpersonal and written communication abilities.
- Proficient in hotel systems (Opera, Delphi, or similar platforms).
- Forward-thinking with the ability to adapt to new systems and technology.
- Able to work cross-functionally in a fast-paced, guest-focused environment.
- Willingness to work flexible hours, including weekends and public holidays.
