Job Description: Condominium Customer Service Assistant

Plays a key role in ensuring smooth daily operations and providing excellent service to residents, and visitors. This position involves handling inquiries, addressing concerns, coordinating services, and maintaining a high standard of customer satisfaction. They assist with day-to-day operations to create a functional and safe working environment.

Key Responsibilities and Requirements:

Resident and Guest Relations:
  • Respond to inquiries regarding condominium facilities, rules, and policies.
  • Handle complaints and escalate issues to management when necessary.

Administrative Support:
  • Maintain resident records and update databases.
  • Prepare reports and documentation as required by management.
  • Communicate important notices regarding maintenance, security, or events.
  • Address concerns professionally and seek solutions to improve resident satisfaction.

Facility Coordination:
  • Schedule and oversee reservations for common areas (e.g., function rooms, gym, pool, tennis court etc).
  • Ensure compliance with condominium rules and regulations.
  • Assist in organizing community events or meetings.

Security & Safety Assistance:
  • Work with security personnel to monitor building access and visitor logs.
  • Report safety hazards or suspicious activities.
  • Ensure emergency procedures are communicated to residents.

Skills & Competencies:
  • Strong communication and interpersonal skills.
  • Problem-solving and conflict resolution abilities.
  • Basic computer proficiency (MS Office, email, property management software).
  • Ability to multitask and work under pressure.
  • Professional demeanor and customer-oriented attitude.

Other Requirements:
  • Willingness to work in shifts, including weekends and holidays.
  • Knowledge of condominium rules and local housing regulations is an advantage.
  • Ability to work independently and as part of a team.
