Key Responsibilities
  • Order & Invoice Management
    • Coordinate order processing with Solution Sales, Account Managers, Project Managers, Sales Operations, and Finance.
    • Manage end-to-end order treatment process from purchase order (PO) receipt to invoicing.
    • Ensure accurate order booking in Oracle, maintain tracking lists, and follow up on projects until invoicing completion.
    • Generate orders, invoices, and process credit notes in a timely manner.
  • Project & Financial Support
    • Organize project kick-off (Engagement Review) meetings upon PO reception with relevant stakeholders.
    • Support financial controllers with quarterly PO booking consolidation and monthly billing data checks.
    • Assist in tracking transaction fee orders and maintaining accurate financial documentation.
    • Support credit management on overdue payments in collaboration with Sales and Finance teams.
  • Administrative & Cross-Team Collaboration
    • Maintain proper documentation and ensure storage in shared folders.
    • Arrange courier services for invoicing documents and ensure compliance with internal processes.
    • Collaborate with cross-functional teams/business units to streamline order management processes.
    • Provide additional administrative support as required by supervisors.

Scope
  • Coverage: Asia Region
  • Primary interface: Sales, Finance, and Project Management teams

Qualifications

Education & Experience
  • Diploma or higher qualification.
  • Minimum 2 years' relevant experience in backend customer service, order management, or sales administration.

Skills
  • Strong knowledge of sales administration and logistics (e.g., Letter of Credit, Payment Terms, Customs rules).
  • IT-literate with proficiency in Microsoft Office Suite (advanced Excel & PowerPoint required).
  • Familiarity with Oracle and Microsoft Dynamics is an advantage.
