Key Responsibilities:
  • Perform quality checks and format draft survey reports on a daily basis to ensure accuracy and professionalism.
  • Print, scan, bind, and arrange the despatch of final approved survey reports to insurers, consignees, or clients.
  • Maintain a systematic and organized digital filing system by correctly naming and archiving soft copies of final reports on a weekly basis.
  • Prepare and raise invoices accurately and in a timely manner to be included with final reports sent to clients.
  • Summarize and verify departmental revenue calculations for submission to the Head of Department for monthly consolidation.
  • Serve as the company receptionist by greeting visitors warmly, escorting them to meeting areas, and offering refreshments.
  • Handle incoming phone calls professionally, take messages, and route them to the appropriate personnel according to company policies.
  • Address standard customer enquiries and escalate complex issues to the appropriate supervisor for resolution.
  • Provide administrative support to the Head of HR & Admin, ensuring timely and accurate completion of assigned tasks.

Requirements:
  • Minimum 2 years of experience in an administrative or customer service role.
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and general office equipment.
  • Strong attention to detail with good organizational and communication skills.
  • Professional and courteous demeanor, especially when dealing with clients and visitors.
  • Able to multitask and work independently in a fast-paced environment.
