Key Responsibilities:
- Perform quality checks and format draft survey reports on a daily basis to ensure accuracy and professionalism.
- Print, scan, bind, and arrange the despatch of final approved survey reports to insurers, consignees, or clients.
- Maintain a systematic and organized digital filing system by correctly naming and archiving soft copies of final reports on a weekly basis.
- Prepare and raise invoices accurately and in a timely manner to be included with final reports sent to clients.
- Summarize and verify departmental revenue calculations for submission to the Head of Department for monthly consolidation.
- Serve as the company receptionist by greeting visitors warmly, escorting them to meeting areas, and offering refreshments.
- Handle incoming phone calls professionally, take messages, and route them to the appropriate personnel according to company policies.
- Address standard customer enquiries and escalate complex issues to the appropriate supervisor for resolution.
- Provide administrative support to the Head of HR & Admin, ensuring timely and accurate completion of assigned tasks.
Requirements:
- Minimum 2 years of experience in an administrative or customer service role.
- Proficiency in Microsoft Office (Word, Excel, Outlook) and general office equipment.
- Strong attention to detail with good organizational and communication skills.
- Professional and courteous demeanor, especially when dealing with clients and visitors.
- Able to multitask and work independently in a fast-paced environment.
